Dangers:

• If smoke, odors, or noise rise from the device, turn off the power at once, unplug the power cable, and then contact the service center.

• If the product does not work properly, please contact your dealer or the nearest service center. Never attempt to disassemble the device yourself. (We shall not assume any responsibility for problems caused by unauthorized repair or maintenance.)

Cautions:

• Do not drop the device or subject it to physical shock, and do not expose it to high electromagnetism radiation. Avoid installing the equipment on surfaces with vibrations or places subject to shock.

• Do not place the device in extremely hot, cold, dusty, or damp locations, and do not expose it to high electromagnetic radiation. Refer to the device specifications for detailed operating temperatures.

• The device cover for indoor use shall be kept from rain and moisture.

• Exposing the equipment to direct sunlight, low ventilation, or heat sources such as a heater or radiator is forbidden as it can cause a fire danger.

• Do not aim the device at the sun or extra bright places. A blooming or smear may occur otherwise (which is not a malfunction), and this can affect the endurance of the sensor.

• Please use the provided glove when opening the device cover and avoid direct contact with it, because the acidic sweat of the fingers may erode the surface coating.

• Use a soft and dry cloth when cleaning the inside and outside surfaces of the device cover; do not use alkaline detergents.

• Keep all wrappers after unpacking for future use. In case of any failure, you need to return the device to the factory with the original wrapper. Transportation without the original wrapper may result in damage to the device and lead to additional costs.

• Improper use or replacement of the battery may result in an explosion hazard. Replace with the same or equivalent type only. Dispose of used batteries according to the instructions provided by the battery manufacturer.

The keypad on your HIKVISION DS-K1A8503F-B has the following functions:

3	Numeric Keys/Letter Keys: Press to input numbers or letters. Key 0 can also represent a space key except when you are using the number input method.
4	OK Key: Press the OK key to confirm operations. Hold the key for 2 seconds to enter the login interface. If you enable the attendance status function, the OK key can be the shortcut key for the attendance status.
5	Deleting Key: Press the key to delete letters or numbers one by one in the textbox. If the device supports a lithium battery, long press the key to power off the device.
6	Editing Key: Press to enter the editing status. Press to shift among numbers/lowercases, numbers/uppercases, and symbols.

To install the HIKVISION DS-K1A8503F-B directly on a wall, follow these steps:

Step 1. Stick a mounting template on the wall at the required height, and drill 4 holes according to the mounting template.

Step 2. Insert the 4 supplied expansion sleeves of the setscrews into the drilled holes.

Step 3. Fix and fasten the expansion bolts into the expansion sleeves. You should reserve 5.2 mm to 5.5 mm of the expansion bolts outside the wall for hanging the device.

Step 4. Align the four holes on the device’s rear panel with the fixed screws and hang the device on the wall.

You must activate your HIKVISION DS-K1A8503F-B before the first login. After powering on, the system will switch to the Device Activation page. The default values are:

• Default IP address: 192.0.0.64

• Default port No.: 8000

• Default user name: admin

To activate via the device itself:

Step 1. Create a device password for activation.

Step 2. Confirm the password. You can press the up or down key on the keypad to change the input method.

Step 3. Press OK to activate the device.

It is highly recommended to create a strong password of your own choosing (using a minimum of 8 characters, including at least three of the following categories: upper case letters, lower case letters, numbers, and special characters) to increase the security of your product. You should also reset your password regularly. After device activation, you will enter the administrator adding page. You must add an administrator before other operations.

SADP is a tool to detect, activate, and modify the IP address of the HIKVISION DS-K1A8503F-B over the LAN. The device and the PC running the SADP tool must be on the same subnet.

Steps:

Step 1. Run the SADP software and search for online devices.

Step 2. Find and select your device in the online device list.

Step 3. Input a new password (admin password) and confirm it. It is highly recommended to create a strong password of at least 8 characters, including upper case letters, lower case letters, numbers, and special characters.

Step 4. Click Activate to start the activation. The status of the device will become Active after successful activation.

Step 5. To modify the IP address of the device:

1) Select the device.

2) Change the device IP address to be on the same subnet as your computer, either by modifying the IP address manually or by checking Enable DHCP.

3) Input the admin password and click Modify to activate your IP address modification.

For some devices, you are required to create a password to activate them before they can be added to the software and work properly. This function must be supported by the device.

Steps:

Step 1. Enter the Device Management page in the client software.

Step 2. Click on the right of Device Management and select Device.

Step 3. Click Online Device to show the online device area. The searched online devices are displayed in the list.

Step 4. Check the device status (shown in the Security Level column) and select an inactive device.

Step 5. Click Activate to open the Activation dialog.

Step 6. Create a password in the password field and confirm the password. We highly recommend you create a strong password of at least 8 characters with a mix of upper case letters, lower case letters, numbers, and special characters.

Step 7. Click OK to activate the device.

After the device activation, you can select a language for the device system. By default, the system language is English. Note that after you change the system language, the device will reboot automatically.

After device activation and system language selection, you are required to add an administrator. You can set the administrator’s user name, card No., fingerprint, password, department, and authentication mode.

Steps:

Step 1. Move the cursor and select User New to enter the New page.

Step 2. Enter the new user’s parameters:

• ID (Employee ID): By default, the ID No. will increase in sequence. You can edit it. The ID refers to the user attendance serial No., should be between 1 and 99999999, not start with 0, and used only once.

• Name: Enter the new user name. Press the up or down key to change the input method. Up to 32 characters are allowed.

• Card: Swipe a card on the card swiping area or enter the card No. manually. Up to 20 digits are allowed. The card No. can be 0 or start with 0 if it has more than one number (e.g., 012345). It must be used only once.

• FP (Fingerprint): On the Fingerprint page, select a target finger and record it according to the voice prompt. The same fingerprint cannot be added repeatedly. Up to 10 fingerprints can be added to one user.

• PWD (Password): Create a password for the user and confirm it. Up to 8 characters are allowed.

• Dept. (Department): Select a department from the list and edit it if necessary.

Step 3. Press ESC, and select Yes to save the settings and exit the page.

To manage the device parameters on your HIKVISION DS-K1A8503F-B, you need to log in as an administrator. Hold the OK button for 3 seconds to enter the login page. Select FP (Fingerprint), Device PWD (Password), or Card, and authenticate to enter the home page. You can press the up or down key on the keypad to change the input method. The login page may vary depending on the device model.

You can set the device network parameters, including IP address, subnet mask, gateway address, and DHCP.

Steps:

Step 1. Move the cursor and select Comm. Network.

Step 2. Press OK to enter the Network page.

Step 3. Edit the IP address, subnet mask, and gateway. The device’s IP address and the PC’s should be in the same network segment.

Step 4. (Optional) Enable DHCP. The system will automatically assign an IP address to the device.

Step 5. Press ESC and select Yes to save the parameters and return to the previous menu.

You can add users by setting their ID No., user name, card No., fingerprint, password, department, role, and authentication mode.

Steps:

Step 1. Move the cursor and select User New to enter the New page.

Step 2. Enter the new user’s parameters:

• ID (Employee ID): The ID should be between 1 and 99999999 and not start with 0. It must be unique.

• Name: Enter the user’s name (up to 32 characters).

• Card: Swipe a card or enter the card number manually. The card number must be unique and can contain up to 20 digits.

• FP (Fingerprint): Select a target finger and record it. Up to 10 fingerprints can be added per user.

• PWD (Password): Create and confirm a password for the user (up to 8 characters).

• Dept. (Department): Select a department from the list.

• Auth (Authentication Mode): Select an authentication mode for the user, such as Card/Fingerprint, Card, Fingerprint, etc. If you select “Controller”, the user will authenticate based on the system-wide settings.

• Role: Select the user’s role as administrator or normal user. An Admin has all permissions, while a User can only check attendance on the initial page.

Step 3. Press ESC and select Yes to save the settings and exit the page.

You can search, edit, and delete added users, as well as manage their passwords, fingerprints, and cards on the HIKVISION DS-K1A8503F-B.

Search User:

1. Move the cursor and select User -> User to enter the user list.

2. Enter the user’s name or employee ID in the search box and press OK to start the search.

Edit User:

1. Move the cursor and select User -> User to enter the user list.

2. Select a user in the list and press OK.

3. Select Edit User and edit the user’s information as you would when adding a new person.

4. Press ESC and select Yes to save the settings.

Delete:

After selecting a user, you can choose from the following delete options:

• Delete User: Deletes the selected user completely.

• Delete PWD: Deletes the selected user’s password.

• Clear FP: Clears all added fingerprints of the selected user.

• Clear Card: Deletes all added cards of the selected user.

The HIKVISION DS-K1A8503F-B supports several attendance modes: Auto, Manual, Manual and Auto, and Disable.

Set Auto Attendance:

The system automatically changes the attendance status (e.g., check-in, check-out) based on configured schedules.

1. Go to System -> Att. Status.

2. Select Attendance Mode and set it to Auto.

3. Press ESC and save.

4. Select Shortcut Key and define the attendance status and its valid schedule for each key. For example, if the Up key is set for check-in with a schedule of Monday 08:00, any valid authentication before 17:00 on Monday will be marked as check-in.

Set Manual Attendance:

You manually select an attendance status when you take attendance.

1. Go to System -> Att. Status.

2. Select Attendance Mode and set it to Manual.

3. Press ESC and save.

4. Define shortcut keys for attendance statuses. When you authenticate, you press a key to select the status.

Set Manual and Auto Attendance:

This mode combines both auto and manual functions. The system will auto-change the status based on the schedule, but you can also manually override it by pressing a shortcut key before authentication.

1. Go to System -> Att. Status.

2. Select Attendance Mode and set it to Manual and Auto.

3. Configure the shortcut keys and schedules as in Auto mode.

Disable Attendance Mode:

This disables the attendance status function, and the status will not be displayed on the initial page.

1. Go to System -> Att. Status.

2. Select Attendance Mode and set it to Disable.

You can export the attendance record, attendance report, abnormal attendance record, and attendance management schedule from your HIKVISION DS-K1A8503F-B.

Steps:

Step 1. Plug a USB flash drive into the USB interface. The supported format is FAT32, with memory from 1G to 32G and free space of more than 512 MB.

Step 2. Move the cursor and select Report. Press OK to enter the Report page.

Step 3. Select a report to export.

• When exporting an attendance record, attendance report, or abnormal attendance record, you must enter the device No., attendance start date, and end date.

• When selecting Attendance Management Schedule, the shift settings table, normal shift schedule table, and man-hour shift schedule table will be exported.

The exported table will be saved to the USB flash drive in Excel format.

The system reads an upgrading file from a plugged-in USB flash drive to upgrade the device.

Steps:

Step 1. Plug the USB flash drive with the firmware file into the USB interface.

• The upgrading file must be in the root directory of the USB drive.

• The upgrading file name must be digicap.dav.

Step 2. Move the cursor and select System -> Upgrade.

Step 3. Press OK.

The system will automatically read the digicap.dav file and start upgrading. Do not power off the device during the upgrading process. The device will reboot automatically after the upgrade is complete. You should remove the USB flash drive after upgrading is completed.

You can restore system parameters to factory settings or default settings.

Steps:

Step 1. Move the cursor and select System -> Reset.

Step 2. Press OK to enter the Reset page.

Step 3. Select either Factory Settings or Default Settings.

• Factory Settings: All parameters of the device will be restored to the factory parameters.

• Default Settings: All parameters, excluding communication parameters, remote user management, and events, will be restored to the factory parameters.

Step 4. Confirm the settings in the prompt page, and the device will start restoring.

For best results when scanning your fingerprint on the HIKVISION DS-K1A8503F-B, please follow these tips:

Recommended Finger:

Use your forefinger, middle finger, or third finger.

Correct Scanning:

Press your finger on the scanner horizontally. The center of your scanned finger should align with the scanner’s center.

Incorrect Scanning to Avoid:

• Placing the finger vertically.

• Placing only the edge of the finger on the scanner.

• Placing the finger sideways on the scanner.

Environment:

The scanner should avoid direct high light, high temperature, humid conditions, and rain. If your finger is too dry, the scanner may not recognize your fingerprint successfully. You can blow on your finger to add moisture and scan again.

Others:

If your fingerprint is shallow or hard to scan, it is recommended to use other authentication methods. If you have injuries on the scanned finger, the scanner may not recognize it. You can change to another finger and try again.

The behavior of the HIKVISION DS-K1A8503F-B when attendance records are full depends on whether the “Record Delete” function is enabled or disabled in the system settings.

Enable Record Delete:

1. When the record count reaches the configured threshold, an alarm “Log will be full, export the report” will be displayed. Card authentication remains available.

2. When the record is completely full, the same alarm is displayed. Card authentication is still available, and the first 3000 attendance records will be deleted automatically to make space for new ones.

3. You can manually delete records by time or delete all records.

Disable Record Delete:

1. When the record count reaches the configured threshold, an alarm “Log will be full, export the report” will be displayed. Card authentication remains available.

2. When the record is completely full, the same alarm is displayed. Card authentication is still available, but no new attendance records will be added.
