The following symbols and conventions are used throughout the user guide for the BROTHER MFC-J6545DW:

Before attempting any printing operation with your BROTHER MFC-J6545DW, confirm the following:

• Make sure you have installed the Brother software and drivers.

• For USB or network cable users: Make sure the interface cable is physically secure.

Selecting the correct type of paper: For high-quality printing, it is important to select the correct type of paper. Be sure to read the information about acceptable paper before buying paper, and to determine the printable area depending on the settings in the printer driver.

Simultaneous printing, scanning and faxing: Your BROTHER MFC-J6545DW can print from your computer while sending or receiving a fax into memory or while scanning a document into the computer. Fax sending will not be stopped during printing from your computer. However, when the machine is copying or receiving a fax on paper, it pauses the printing operation, and then continues printing when copying or fax receiving has finished.

Firewall (Windows®): If your computer is protected by a firewall and you are unable to network print, network scan, or PC-FAX, you may need to configure the firewall settings. If you are using the Windows® Firewall and you installed the drivers using the steps in the installer, the necessary firewall settings have been already set. If you are using any other personal firewall software, see the User’s Guide for your software or contact the software manufacturer.

The control panel of the BROTHER MFC-J6545DW includes the following components:

1. NFC (Near Field Communication) symbol (MFC-J6945DW): You can use card authentication by touching the IC card to the NFC symbol. If your Android™ device supports NFC, you can print from or scan to your device this way.

2. Touchscreen Liquid Crystal Display (LCD): Access menus and options by pressing them on the touchscreen.

3. Menu buttons:

• (Back): Press to go back to the previous menu.

• (Home): Press to return to the Home screen.

• (Cancel): Press to cancel an operation.

4. Dial Pad: Press the numbers to dial telephone or fax numbers and to enter the number of copies.

5. LED Power Indicator: The LED lights up depending on the machine’s power status. When the machine is in Sleep Mode, the LED blinks.

6. Power On/Off: Press to turn on the machine. Press and hold down to turn off the machine. The touchscreen will display [Shutting Down]. If you have an external telephone or TAD connected, it remains available. If you turn off the machine using this button, it will still periodically clean the print head to maintain print quality. For best results, keep your machine connected to a power source at all times.

You can switch Home screens by swiping left or right. From the Home screens, you can access Shortcuts, Wi-Fi® setup, Settings, and Ink levels screens.

Home Screen Overview:

1. Date & Time: Displays the date and time set on the machine.

2. Quiet Mode Icon: Appears when [Quiet Mode] is set to [On]. This setting reduces printing noise but slows down the print speed.

3. [Shortcuts]: Create shortcuts for frequently-used operations like faxing, copying, scanning, Web Connect, and Apps services. Three tabs are available, with six shortcuts on each tab.

4. Wireless Status: Shows the wireless network status. Icons indicate if you are not connected, connected (with signal strength), if the access point cannot be detected, or if wireless is disabled. Press this button to configure wireless settings.

5. [Settings]: Press to access the [Settings] menu.

6. [Ink]: Displays the approximate available ink volume. An error icon is displayed if an ink cartridge is near the end of its life or has a problem.

7. Modes: Press to switch between modes like [Fax], [Copy], [Scan], [Secure Print], [Web], [Apps], etc.

8. Information icon: Appears when there is new information from Brother if notification settings are enabled.

9. Warning icon: Appears when there is an error or maintenance message. Press the icon to view details.

To navigate, press your finger on the LCD. To display and access all options, swipe left, right, up, or down, or use the on-screen arrow keys to scroll.

The Settings screen shows the machine’s status and provides access to all settings. Here are the main options:

1. Receive Mode: Displays the current Receive Mode for faxes.

2. [Maintenance]: Access menus for [Improve Print Quality], [Print Head Cleaning], [Remove Paper Scraps], [Ink Volume], [Ink Cartridge Model], and [Print Setting Options].

3. [Wi-Fi]: Set up a wireless network connection. A three-level indicator displays the current wireless signal strength.

4. [Date & Time]: Displays and allows access to the [Date & Time] menu.

5. [Quiet Mode]: Displays and allows access to the [Quiet Mode] menu.

6. [All Settings]: Access a menu of all your machine’s settings.

7. [Fax Preview]: Displays and allows access to the Fax Preview setting.

8. [Tray Setting]: Access the [Tray Setting] menu to change paper size and type for the trays.

You can change the default screen that appears when the machine is idle (the Ready screen). Follow these steps:

1. Press [Settings] > [All Settings] > [General Setup] > [Screen Settings] > [Home Screen].

2. Swipe up or down to display the [Screen 1], [Screen 2], [Screen 3], [Shortcuts 1], [Shortcuts 2], or [Shortcuts 3] option.

3. Press the option you want to set as your new Home screen.

4. Press the (Home) button.

You can change the default screen that appears when you enter the Copy or Scan mode.

1. Do one of the following:

• To change the copy screen: Press [Settings] > [All Settings] > [General Setup] > [Screen Settings] > [Copy Screen].

• To change the scan screen: Press [Settings] > [All Settings] > [General Setup] > [Screen Settings] > [Scan Screen].

2. Swipe up or down to display the available copy or scan options.

3. Press the option you want to set as the default screen.

4. Press the (Home) button.

The USB and Ethernet ports are located inside the BROTHER MFC-J6545DW. To access them:

1. Place both hands under the plastic tabs on both sides of the machine to lift the scanner cover into the open position.

2. Locate the correct port (USB or Ethernet) inside the machine.

3. Carefully guide the cable through the cable channel and out the back of the machine.

4. Gently close the scanner cover using both hands.

Follow these instructions to load Letter, A4, or Executive size paper in Tray #1. The steps for Tray #2 are similar, but only plain paper is supported in Tray #2.

1. If the paper support flap is open, close it, and then close the paper support.

2. Pull the paper tray completely out of the machine.

3. Gently press and slide the paper width guides and then the paper length guide to fit the paper size. Make sure the triangular marks on the guides line up with the marks for your paper size.

4. For Executive size paper, lift up the stopper in the tray.

5. Fan the stack of paper well to avoid paper jams and misfeeds.

6. Gently load paper in the paper tray with the printing surface face down in landscape orientation. Do not push the paper in too far.

7. Gently adjust the paper width guides to fit the paper, ensuring they touch the edges of the paper.

8. Make sure the paper is flat and below the maximum paper mark.

9. Slowly push the paper tray completely into the machine.

10. Pull out the paper support until it locks into place.

11. If needed, change the paper size setting in the machine’s menu.

These instructions describe loading large paper in Tray #1. Tray #2 supports similar steps but only for plain paper.

1. Close the paper support flap and paper support.

2. Pull the paper tray completely out of the machine.

3. Rest the tray on a flat surface. Push the green slider to the left and then extend the tray until it locks into place.

4. Gently press and slide the paper width guides and paper length guide to fit the paper size, aligning the triangular marks.

5. Fan the stack of paper well.

6. Gently load the paper into the tray with the printing surface face down in portrait orientation. Do not push the paper in too far.

7. Adjust the paper width guides to gently touch the edges of the paper.

8. Ensure the paper is flat and below the maximum paper mark.

9. Slowly push the paper tray completely into the machine.

10. Pull out the paper support until it locks into place, and then unfold the paper support flap.

11. Change the paper size setting in the machine’s menu, if needed.

CAUTION: Position the machine so the extended tray will not protrude past the edge of the table or desk where someone may bump into it.

Follow these steps to load photo paper into Paper Tray #1 of your BROTHER MFC-J6545DW:

1. Close the paper support flap and paper support.

2. Pull the paper tray completely out of the machine.

3. Lift up the correct photo paper stopper inside the tray based on your paper size:

• Photo L (3.5″ x 5″): Lift the Photo L stopper (1).

• Photo (4″ x 6″): Lift the Photo stopper (2).

• Photo 2L (5″ x 7″): Lift the Photo 2L stopper (3).

4. Gently press and slide the paper width guides to fit the paper size.

5. Load up to 20 sheets of photo paper in the tray with the printing surface face down.

6. Gently adjust the paper width guides to touch the edges of the paper.

7. Slowly push the paper tray completely into the machine.

8. Pull out the paper support until it locks into place.

9. Change the paper size setting in the machine’s menu, if needed.

To load envelopes into Paper Tray #1 of your BROTHER MFC-J6545DW:

1. Before loading, press the corners and sides of the envelopes to make them as flat as possible.

2. Close the paper support flap and paper support if they are open.

3. Pull the paper tray completely out of the machine.

4. Load up to 10 envelopes in the paper tray with the printing surface face down. If envelopes are “double-feeding,” load one envelope at a time.

5. Gently press and slide the paper width guides and paper length guide to fit the size of the envelopes.

6. Slowly push the paper tray completely into the machine.

7. Pull out the paper support until it locks into place, and then unfold the paper support flap.

8. Change the paper size setting in the machine’s menu, if needed.

The MP Tray is for special print media, such as photo paper or envelopes.

1. Open the MP tray. If loading paper larger than Letter or A4, pull up the paper tray using both hands until it locks into place.

2. Gently press and slide the MP tray paper guides to match the width of the paper you are using.

3. Fan the stack of paper well to avoid jams.

4. Gently load the paper in the MP tray with the printing surface face up.

• For Letter, A4, or Executive: Load in landscape orientation.

• For Ledger, A3, Legal, Folio, A5, A6, envelopes, Photo, etc.: Load in portrait orientation.

• For envelopes: Load with the printing surface face up and the flap on the left.

5. Using both hands, gently adjust the MP tray paper guides to fit the paper. Do not press them too tightly.

6. Pull out the paper support until it locks into place. For larger paper, also unfold the paper support flap.

7. Change the paper size setting in the machine’s menu, if needed.

NOTE: To prevent dust from entering the machine, close the MP tray when not in use.

The unprintable area depends on the settings in your application. The machine can print in the shaded areas of cut-sheet paper only when the Borderless print feature is available and turned on. The Borderless feature is not available for envelopes, 2-sided printing, and some paper sizes like Legal and Executive.

To get the best print quality, set the machine for the type of paper you are using. When you change the size of the paper in the tray, you must also change the Paper Size setting on the LCD.

1. Press [Settings] > [Tray Setting].

2. Press the tray option you want to change.

3. Press [Paper Type].

4. Press the paper type option you want. Note: Use plain paper only in Tray #2.

5. Press [Paper Size].

6. Swipe up or down to display the paper size options, and then press the option you want.

7. Press the (Home) button.

The machine ejects paper with the printed surface face up. When using glossy paper, remove each sheet at once to prevent smudging or paper jams.

For the best print quality, we recommend using the Brother paper listed in the table:

• Store paper in its original packaging and keep it sealed. Keep the paper flat and away from moisture, direct sunlight, and heat.

• Avoid touching the shiny (coated) side of photo paper.

• Some envelope sizes require that you set margins in the application. Make sure you do a test print first.

IMPORTANT: DO NOT use the following kinds of paper:

• Damaged, curled, wrinkled, or irregularly shaped paper. A curl of 0.08 in. (2 mm) or greater may cause jams.

• Extremely shiny or highly textured paper.

• Paper that cannot be arranged uniformly when stacked.

• Paper made with a short grain.

DO NOT use envelopes that:

• Are loosely constructed

• Have windows

• Are embossed (have raised writing)

• Have clasps or staples

• Are pre-printed on the inside

• Are self-adhesive

• Have double flaps

Paper Orientation and Capacity of the Paper Trays

Paper Weight and Thickness

The ADF can hold multiple pages and feeds each sheet individually. Use paper within the following sizes and weights:

• Length: 5.8 to 17.0 in. (148 to 431.8 mm)
• Width: 4.1 to 11.7 in. (105 to 297 mm)
• Paper Weight: 17 to 24 lb (64 to 90 g/m²)

IMPORTANT:

• DO NOT pull on the document while it is feeding.

• DO NOT use curled, wrinkled, folded, ripped, stapled, or taped paper.

• DO NOT use cardboard, newspaper, or fabric.

• Ensure documents with correction fluid or ink are completely dry.

• Your 2-sided documents can be faxed, copied, or scanned up to Ledger size using the ADF.

Steps to load documents:

1. Fan the pages well.

2. Adjust the paper guides to fit the document size.

3. Place your document face up in the ADF until you feel it touch the feed rollers and the machine beeps.

IMPORTANT: DO NOT leave any documents on the scanner glass. If you do this, the ADF may jam.

Use the scanner glass to fax, copy, or scan one page at a time. The ADF must be empty.

Supported Document Sizes:

• Length: Up to 17.0 in. (431.8 mm)
• Width: Up to 11.7 in. (297 mm)
• Weight: Up to 4.4 lb (2 kg)

Steps to load a document:

1. Lift the document cover.

2. Place the document face down in the upper left corner of the scanner glass, using the guidelines.

3. Close the document cover.

IMPORTANT: If you are scanning a book or thick document, DO NOT slam or press on the document cover.

1. Select the print command in your application.

2. Select Brother MFC-J6545DW, and then click the printing properties or preferences button to open the printer driver window.

3. Make sure you have loaded the correct media in the paper tray. For best results, use Brother paper. When printing on Brother photo paper, load one extra sheet of the same paper.

4. Click the Basic tab.

5. Click the Media Type drop-down list and select the type of paper you are using.

6. Click the Paper Size drop-down list and select your paper size.

7. Select the Borderless check box, if needed.

8. For Color Mode, select the Natural or Vivid option.

9. In the Orientation field, select Portrait or Landscape.

10. Type the number of copies you want in the Copies field.

11. Change other printer settings if needed.

12. Click OK.

13. Complete your print operation.

1. Select the print command in your application.

2. Select Brother MFC-J6545DW and click the printing properties or preferences button.

3. Make sure you have loaded the correct size paper in the paper tray.

4. Click the Basic tab.

5. From the Media Type drop-down list, select the type of paper you are using.

6. From the Paper Size drop-down list, select your paper size.

7. For Color Mode, select the Natural or Vivid option.

8. In the Orientation field, select Portrait or Landscape.

9. Type the number of copies (1-999) in the Copies field.

10. To print multiple pages on a single sheet (N-in-1), click the Multiple Page drop-down list and select your options.

11. Change other printer settings if needed.

12. Click OK.

13. Complete your print operation.

Before you begin, note the following:

• Make sure the jam clear cover is closed.

• If paper is curled, straighten it and put it back in the paper tray.

• Use regular paper. DO NOT use bond paper.

• If the paper is thin, it may wrinkle.

To print on both sides of the paper:

1. Select the print command in your application.

2. Select Brother MFC-J6545DW and click the printing properties or preferences button.

3. Click the Basic tab.

4. In the Orientation field, select Portrait or Landscape.

5. Click the 2-sided / Booklet drop-down list, and then select 2-sided.

6. Click the 2-sided Settings button.

7. Select one of the options from the 2‑sided Type menu. Four types of 2-sided binding are available for each orientation (for example, Long Edge (Left) for portrait).

8. Select the Binding Offset check box if you want to specify the offset for binding in inches or millimeters.

9. Click OK to return to the printer driver window.

10. Click OK again, and then complete your print operation.

You can preview and print photos directly from a USB flash drive.

1. Put a USB flash drive in the USB slot on the front of the machine.

2. On the touchscreen, press [JPEG Print] > [Select Files].

3. Swipe left or right to display the photo you want to print, and then press it. To print all photos, press [Print All], and then press [Yes] to confirm.

4. Enter the number of copies using the [-] or [+] buttons, the on-screen keyboard, or the dial pad.

5. Press [OK].

6. Repeat the last three steps until you have selected all the photos you want to print.

7. Press [OK].

8. To change the print settings (such as paper type, borderless, etc.), press [Print Settings], make your adjustments, and press [OK].

9. Press [Start] to begin printing.

You can scan documents and save them to a folder on your computer as PDF files directly from the machine.

1. Load your document.

2. On the touchscreen, press [Scan].

3. Swipe left or right to display [to PC], and then press it.

4. Press [to File].

5. If the machine is on a network, swipe up or down to display the computer where you want to send the data, and then press the computer name. If prompted, enter the four-digit PIN for the computer.

6. Do one of the following:

• To start scanning without changing settings, press [Start].

• To change settings temporarily, press [Options] or [Set at Device].

7. If you are scanning a multi-page document from the scanner glass, follow the LCD instructions to complete the job.

Note: To use the [Options] or [Set at Device] setting, a computer with either ControlCenter4 (Windows®) or Brother iPrint&Scan (Mac) software installed must be connected to the machine.

You can scan documents and save them directly to a USB flash drive without a computer.

1. Load your document.

2. Insert a USB flash drive into the machine’s USB port. The LCD will automatically change.

3. Press [Scan to Media].

4. Do one of the following:

• To start scanning without changing settings, press [Start].

• To change settings, press [Options]. You can adjust settings like Scan Type, Resolution, File Type, Document Size, and more. When finished, press [OK].

5. The machine starts scanning. If you are using the scanner glass for a multi-page document, press [Continue] to scan the next page, or [Finish] when done.

IMPORTANT: Do not remove the USB flash drive while the machine is reading or writing data to it, as this could damage the drive or the data.

1. Make sure you have loaded the correct size paper in the paper tray.

2. Load your document in the ADF or on the scanner glass.

3. Press [Copy] on the touchscreen.

4. Enter the number of copies using the – or + icons, or by pressing the number display to bring up a keypad.

5. If needed, change copy settings such as Actual Size, 2-sided, Paper Tray, or Quality by pressing the corresponding option on the screen. For more settings, press [Options].

6. After you have finished selecting options, you can save them as a shortcut by pressing the [Save as Shortcut] button.

7. Press [Black Start] or [Color Start] to begin copying.

1. Load your document.

2. Press [Copy].

3. Enter the number of copies.

4. Press [Options] > [Enlarge/Reduce].

5. Swipe up or down and select an enlargement or reduction ratio you want. Options include preset ratios like [Enlarge] or [Reduce], [Fit to Page], or [Custom(25-400%)].

6. If you selected [Custom(25-400%)], enter the desired percentage using the on-screen keypad and press [OK].

7. Press [OK] to confirm your selection.

8. Press [Black Start] or [Color Start].

1. Load your document in the ADF or on the scanner glass.

2. Press [Fax] on the touchscreen. If Fax Preview is on, press [Fax] > [Sending Faxes].

3. Enter the fax number using one of the following methods:

• Dial Pad: Enter the number manually.

• [Address Book]: Select a number from the Address Book.

• [Call History]: Select a number from Redial, Outgoing Call, or Caller ID History.

4. Change any fax settings if needed, such as Resolution or Contrast, by pressing [Options].

5. Press [Fax Start].

6. The machine will start scanning and sending the document. If you used the scanner glass, follow the on-screen prompts to scan additional pages.

When the LCD displays a message indicating an ink cartridge needs replacing, follow these steps:

1. Open the ink cartridge cover on the front of the machine.

2. Press the lock release lever for the ink cartridge color indicated on the LCD to release it, and then remove the cartridge from the machine.

3. Open the new ink cartridge bag for the indicated color and take out the new cartridge.

IMPORTANT: DO NOT touch the ink cartridge in the area with the electronic contacts.

4. If replacing the black ink cartridge, shake it horizontally 15 times before inserting it.

5. Insert the new ink cartridge in the direction of the arrow on the label. Each color has its own correct position.

6. Gently push the area marked “PUSH” until the ink cartridge locks into place, and then close the ink cartridge cover.

The machine will automatically reset the ink dot counter. If the LCD displays an error message like `Cannot Detect`, remove the cartridge and reinstall it slowly and firmly.

If you see black lines, streaks, or spots on your copies or scans, the scanner glass or ADF strip may be dirty.

1. Unplug the machine from the AC power outlet.

2. Lift the document cover.

3. Clean the large scanner glass and the white plastic area next to it with a soft, lint-free cloth moistened with water.

4. In the ADF unit (under the document cover), clean the white bar and the narrow glass strip with a lint-free cloth moistened with water.

5. Run your fingertip over the glass to feel for any debris. If you feel any, clean the area again. You may need to repeat the process three or four times.

6. Close the document cover and plug the machine back in.

If you notice faded or streaked colors and text, the print head nozzles may be clogged. You can check this by printing a Print Quality Check Sheet.

1. Press [Settings] > [Maintenance] > [Improve Print Quality] > [Check Print Quality].

2. Press [Start]. The machine prints the Print Quality Check Sheet.

3. Examine the four color blocks on the sheet. The touchscreen will ask about the print quality.

4. Do one of the following:

• If all lines are clear and visible, press [No], then press the (Home) button to finish.

• If lines are missing, press [Yes].

5. The touchscreen will ask you to check the print quality of each color. Press the number (1-4) of the pattern that most closely matches your printed sheet for each color.

6. If the machine indicates cleaning is needed, press [Start] to begin the cleaning procedure. If cleaning is not needed, the Maintenance screen will reappear.

7. After cleaning, the machine will ask if you want to print another check sheet. Press [Yes] and then [Start] to confirm the quality has improved.

IMPORTANT: DO NOT touch the print head. Touching it may cause permanent damage.

If your printed text is blurry or images are faded, adjust the print alignment.

1. First, perform a print quality check to ensure the nozzles are not clogged.

2. Press [Settings] > [Maintenance] > [Improve Print Quality] > [Alignment].

3. Press [Next].

4. A confirmation message about the print quality check will appear. Press [Yes].

5. Press [Auto] or [Manual].

• [Auto] mode: The alignment is automatically adjusted by scanning the Alignment Check Sheet.

• [Manual] mode: You need to input information from the printed Alignment Check Sheet manually.

6. Select the paper size for the Alignment Check Sheet.

7. Load the specified paper size in the tray, and then press [Start]. The machine prints the sheet.

8. Follow the on-screen instructions to complete the alignment process.

Cause: One or more of the color ink cartridges have reached the end of their lives.

Action: Replace the ink cartridges. Although the machine may allow you to print in black & white mode for a short period (approximately four weeks), certain conditions will prevent this:

• If you unplug the machine or remove the ink cartridge.
• If you select the Slow Drying Paper option.

To resolve the issue permanently, you must replace the empty color ink cartridges.

Cause:

• An ink cartridge is not installed correctly.

• You are not using a Genuine Brother ink cartridge.

• The wrong model ink cartridge was installed.

Action:

• Take out the new ink cartridge and reinstall it slowly and firmly until it locks into place.

• If you are not using a Genuine Brother Ink Cartridge, replace it with a genuine one.

• Check the model numbers of the ink cartridges and install the correct ones for your machine.

Cause: The document was not inserted or fed correctly, or the document scanned from the ADF was too long.

Action: Remove the jammed document from the ADF. Then, press the (Cancel) button to clear the error. Reload the document in the ADF correctly.

Cause:

• Paper is jammed in the machine.

• The paper guides are not set to the correct paper size.

• The machine’s paper support is not set correctly.

Action:

• Carefully remove the jammed paper from the front or back of the machine, following the instructions on the LCD.

• Make sure the paper guides in the tray are set to the correct paper size.

• Make sure the paper support is fully inserted into the machine.

If the jam reoccurs, a small piece of paper may be stuck inside. Follow the instructions for removing paper scraps.

Cause:

• The machine is out of paper.

• Paper is not loaded correctly in the paper tray.

• The Jam Clear Cover is not closed correctly.

• Paper dust has accumulated on the paper pick-up rollers.

Action:

• Refill the paper tray.

• Remove and reload the paper correctly.

• Make sure the Jam Clear Cover is closed evenly at both ends.

• Clean the paper pick-up rollers.
