The PANASONIC KX-T3165-B is an integrated telephone system that can utilize two telephone lines. Its convenient features include:

When you make a call:

• Redialing the last dialed number.

• Dialing a stored phone number from memory.

During a conversation:

• Talking with a caller through the speakerphone (Hands-free operation).

• Adjusting the volume of the caller’s voice.

• Using the other line while keeping the current call on hold.

The following accessories are included with your PANASONIC KX-T3165-B:

• One Handset

• One Handset cord

• Three R6 (AA, UM-3) size batteries

• One 4-wired telephone line cord with green plugs

• One 2-wired telephone line cord with transparent plugs

Three R6 (AA, UM-3) size batteries are required to fully activate the SP-PHONE (speakerphone) and to retain stored phone numbers in memory. Follow these steps for installation:

Step 1. Remove the wall mounting adaptor from the bottom of the unit.

Step 2. Open the battery compartment cover. Insert three R6 (AA, UM-3) size batteries, making sure to observe the correct polarity (+ and -).

Step 3. Insert the tabs of the wall mounting adaptor back into the openings of the unit and push it in the direction of the arrow. The word “UP” on the adaptor should be facing upward.

Note:

• To prevent the loss of stored phone numbers, replace old batteries with new ones within 10 minutes.

• Always disconnect the telephone line cord before opening the battery compartment cover.

• It is recommended to replace all batteries once a year to prevent misoperation.

• Do not use Nickel-cadmium batteries.

The batteries should be used correctly to avoid damage to the unit from battery leakage. Please observe the following precautions:

• Do not mix different types of batteries.

• Do not charge, short-circuit, disassemble, heat, or dispose of batteries in a fire.

• Remove all batteries when replacing them.

To connect the handset, plug one end of the coiled handset cord into the jack on the handset and the other end into the corresponding jack on the side of the telephone base. Note: Use only the Panasonic Handset designed for the KX-T3165/KX-T3165-B.

To connect your PANASONIC KX-T3165-B to a two-line telephone jack:

Step 1. Use the 4-wired telephone line cord with GREEN plugs.

Step 2. Plug one end of the cord into the jack marked “L1 OR L1/L2” on the back of the phone.

Step 3. Plug the other end into the two-line telephone wall jack (RJ14C).

Step 4. Set the C.O.L. Selector switch on the back of the unit to the “L1/L2” position.

To connect your PANASONIC KX-T3165-B to two separate single-line telephone jacks:

Step 1. Use the 2-wired telephone line cord with TRANSPARENT plugs. Plug it into the jack marked “L1 OR L1/L2” on the back of the phone and connect the other end to the wall jack for LINE 1.

Step 2. Use the 4-wired telephone line cord with GREEN plugs. Plug it into the jack marked “L2” on the back of the phone and connect the other end to the wall jack for LINE 2.

Step 3. Set the C.O.L. Selector switch on the back of the unit to the “L1/L2” position.

If you intend to use the unit with only one telephone line:

Step 1. Use the telephone line cord with TRANSPARENT plugs.

Step 2. Plug one end into the jack marked “L1 OR L1/L2” on the back of the phone.

Step 3. Plug the other end into your single-line telephone wall jack (RJ11C).

Step 4. Set the C.O.L. Selector switch on the back of the unit to the “L1” position.

Note: When using this connection, you can only use LINE 1, and 2-line telephone features will not be available.

The RINGER selectors are used to set the ringer volume for each line independently (LINE 1 and LINE 2). You can set the switch for each line to HIGH, LOW, or OFF. When set to the OFF position, the ringer for that line will not sound.

The DIALING MODE selector has two positions: TONE and PULSE.

• Set the selector to the TONE position if both of your telephone lines have touch-tone service.

• If either of your lines has rotary (pulse) service, you must set the selector to the PULSE position.

Setting the C.O.L. selector is necessary to ensure the line indicators function correctly. The selector is located on the back of the unit.

• Set it to the L1/L2 position if you are using the unit with two telephone lines.

• Set it to the L1 position if you are using the unit as a single-line telephone.

The LINE MODE selectors (one for LINE 1 and one for LINE 2) are located on the back of the unit and have two positions, A and B.

• Set the selector to the A position for a standard telephone line.

• If the line is connected to a low voltage system, such as a PBX, set the selector to the B position.

Step 1. Press the LINE 1 or the LINE 2 button to select the telephone line you wish to use.

Step 2. Lift the handset. The selected line indicator will light up solid red.

Step 3. Dial a telephone number.

Step 4. When you have finished your conversation, place the handset back in the cradle. The line indicator light will go out.

During the conversation, you can switch to a speakerphone call by pressing the SP-PHONE button and placing the handset in the cradle.

During a conversation using the handset, you can adjust the receiver’s volume level using the VOLUME control button. There are 3 levels available (High, Rather high, and Normal).

• To increase the volume, press the upper part of the VOLUME button (marked with an up arrow).

• To decrease the volume, press the lower part of the VOLUME button (marked with a down arrow).

Three beeps will sound when you reach the highest or lowest (normal) level. After you hang up, the volume will automatically return to the normal level.

Note: The speakerphone requires batteries to be installed to function.

Step 1. Press the LINE 1 or the LINE 2 button to select the telephone line.

Step 2. Press the SP-PHONE button. The selected line indicator and the SP-PHONE indicator will both light up red.

Step 3. Dial a telephone number.

Step 4. Speak to the other party through the MIC (Microphone).

Step 5. When you have finished, press the SP-PHONE button again. Both the line indicator and the SP-PHONE indicator will go out.

To switch to a handset call at any time, simply lift the handset.

During a speakerphone conversation, you can adjust the speaker volume using the VOLUME control button. There are 12 levels available.

• To increase the volume, press the upper part of the VOLUME button (marked with an up arrow).

• To decrease the volume, press the lower part of the VOLUME button (marked with a down arrow).

Three beeps will sound when you reach the maximum or minimum level. After you hang up, the selected volume level is maintained for future speakerphone calls.

If you misdial a number, press the FLASH button firmly. The call will be terminated and you will hear a new dial tone, allowing you to dial the correct number.

To redial the last number you called:

Step 1. Press the LINE 1 or the LINE 2 button.

Step 2. Press the REDIAL button.

When using the handset: The unit will redial the last dialed number once.

When using the speakerphone: If the line is busy, the unit will automatically redial the number up to 15 times within a 10-minute period.

Step 1. When the telephone rings, the indicator for the incoming line will flash red. Press the corresponding LINE button.

Step 2. Lift the handset or press the SP-PHONE button to answer the call. The line indicator light will become solid red.

Step 3. When you have finished, replace the handset in the cradle or press the SP-PHONE button to end the call.

When the other party finds it difficult to hear your voice:

Try lowering the speaker volume using the VOLUME control button, or speak more loudly into the microphone.

Absorbing echo:

For best performance, use the speakerphone in a room with sound-absorbing materials like curtains or carpeting.

Avoiding lost or broken conversation:

If you and the caller speak at the same time, parts of your conversation may be lost. Speak alternately to avoid this issue.

You can store up to 12 numbers (up to 16 digits each) in the upper memory stations. Ensure the handset is in the cradle, batteries are installed, and the SP-PHONE light is off.

Step 1. Press the PROGRAM button. The MUTE indicator light will turn on, showing the unit is in programming mode.

Step 2. Enter the phone number you want to store (up to 16 digits).

Step 3. Press one of the 12 one-touch dialing buttons to select the memory station. A single beep will sound, the MUTE indicator will go out, and the phone number is stored.

If you hear two beeps and the MUTE indicator flashes, it means the same number was already stored in that location. To store other numbers, repeat steps 1 through 3.

You can store up to 12 numbers (up to 16 digits each) in the lower memory stations. Ensure the handset is in the cradle, batteries are installed, and the SP-PHONE light is off.

Step 1. Press the PROGRAM button. The MUTE indicator light will turn on.

Step 2. Enter the phone number you want to store (up to 16 digits).

Step 3. Press the LOWER button to select the lower memory location. The MUTE indicator will begin flashing.

Step 4. Press one of the 12 one-touch dialing buttons to select the memory station. A single beep will sound, the MUTE indicator will go out, and the phone number is stored.

If you hear two beeps and the MUTE indicator flashes, it means the same number was already stored in that location. To store other numbers, repeat steps 1 through 4.

To confirm a stored number, simply store the phone number you want to confirm into the same memory station again. The unit will provide audible and visual feedback:

• Two beeps sound and the MUTE indicator flashes once: This confirms the newly stored number is the same as the one previously stored.

• One beep sounds and the MUTE indicator light goes out: This indicates the newly stored number is different from the previously stored one.

Step 1. Press the PROGRAM button.

Step 2. Follow the appropriate step below:

• If the number is in an UPPER memory station: Press the one-touch dialing button corresponding to the number you wish to erase.

• If the number is in a LOWER memory station: Press the LOWER button, then press the one-touch dialing button corresponding to the number you wish to erase.

The number in that memory location will be erased.

Step 1. Press the LINE 1 or the LINE 2 button to select the telephone line.

Step 2. Press the one-touch dialing button where the phone number you want to dial is stored.

The SP-PHONE will turn on automatically and the stored number will be dialed.

Step 1. Press the LINE 1 or the LINE 2 button to select the telephone line.

Step 2. Press the LOWER button.

Step 3. Press the one-touch dialing button where the phone number you want to dial is stored.

The SP-PHONE will turn on automatically and the stored number will be dialed.

If you are on a call (e.g., on LINE 1) and receive a second call, the other line indicator (LINE 2) will begin flashing. You can answer the second call while keeping the first call on hold.

Using the Handset:

Step 1. Press the HOLD button. The LINE 1 indicator will change from red to green, indicating the call is on hold.

Step 2. Press the flashing LINE 2 button to answer the second call. The LINE 2 indicator will light up solid red.

Step 3. To return to the first call, press the LINE 1 button. The LINE 1 indicator will turn red again, and the second call on LINE 2 will be terminated.

Note: If you want to keep the second call on hold when returning to the first, press the HOLD button before pressing the LINE 1 button in step 3.

Using the Speakerphone:

Step 1. Press the HOLD button. The LINE 1 indicator changes from red to green.

Step 2. Press the flashing LINE 2 button, then press the SP-PHONE button (or lift the handset) to answer the second call.

Step 3. To return to the first call, press the LINE 1 button. The second call is terminated.

Note: To keep the second call on hold when returning, press HOLD, then press the LINE 1 button, then press SP-PHONE or lift the handset.

You can combine calls on both lines to establish a three-way conference call.

Step 1. While on a call on one line (e.g., LINE 1), press the HOLD button to put the first call on hold. The LINE 1 indicator changes from red to green.

Step 2. Press the other line button (LINE 2) and make or answer the second call.

Step 3. Once the second call is connected, press the CONF (Conference) button to establish the conference call. Both line indicators will light up red.

To hang up both lines: Place the handset in the cradle (or press SP-PHONE if on speakerphone), and then press the CONF button.

To hang up one line only: Press the line button of the call you wish to continue, and then press the CONF button. This will drop the other line and end the conference.

If your line has rotary (pulse) service and you need to access services that require tone dialing (like electronic banking or answering systems), press the TONE (*) button during a call. This will temporarily switch the dialing mode to tone. You can then dial the required numbers or codes. When you hang up, the dialing mode automatically returns to pulse.

If your phone is connected to a PBX system, you often need to dial an access number (e.g., 9) to get an outside line. The PAUSE button inserts a delay in the dialing sequence. This is useful when redialing or storing a number in memory, as it provides time for the system to connect to the outside line before dialing the actual phone number. Press the PAUSE button where you need the delay when entering a phone number.

The FLASH button has two functions depending on how it’s pressed:

• Pressed Firmly: It works like a regular hookswitch. If you misdial, pressing it firmly will terminate the call and give you a new dial tone.

• Pressed Lightly: When connected to a PBX or when using special telephone company services like Call Waiting, a light press activates these features (e.g., transferring a call or switching to another incoming call).

To use this feature, you must subscribe to a call waiting service from your telephone company.

Step 1. While you are on a call, you will hear a tone indicating another party is calling.

Step 2. Press the FLASH button lightly. The first call is put on hold, and you can answer the second call.

To return to the first caller, press the FLASH button lightly again. The second call will then be put on hold.

The MUTE button allows you to mute your voice so the other party cannot hear you, while you can still hear them.

• To activate mute, press the MUTE button. The MUTE indicator light will turn on.

• To resume the conversation, press the MUTE button again. The indicator light will turn off.

This unit can be mounted on a standard wall phone plate.

Step 1. Remove the handset guide from the unit by pushing it, then turn it over.

Step 2. Replace the handset guide with its tab facing upward. This tab will hold the handset in place when wall-mounted.

Step 3. Remove the wall mounting adaptor from the bottom of the unit.

Step 4. Tuck the telephone line cord inside the wall mounting adaptor.

Step 5. Insert the tabs of the wall mounting adaptor back into the openings on the unit’s bottom and push it in the direction of the arrow. The word “UP” should be facing upward.

Step 6. Connect the telephone line cord to the unit and to the wall-jack on the phone plate. Mount the unit on the plate, then seat it securely by hooking it onto the plate’s mounting posts.

Check the RINGER selectors on the side of the unit. They may be set to the OFF position. Set the selector for the appropriate line to the HIGH or LOW position.

Check the DIALING MODE selector setting. If your telephone service is pulse (rotary), the selector should be on PULSE. If it is touch-tone, it should be on TONE. An incorrect setting can prevent calls from connecting.

If the unit is completely non-functional, check the following:

• The connection of the telephone line cord(s) may have been made improperly. Please review the connection instructions.

• The batteries may have become weak. Replace them with new ones.

If you are having trouble storing numbers, check these points:

• Confirm the handset is in the cradle and the SP-PHONE indicator light is off before you begin programming.

• Do not pause for more than 30 seconds while storing a number, as this may cancel the programming mode.

• Without installing batteries, storing cannot be accomplished. Ensure fresh batteries are correctly installed.

If an incoming call arrives while you are in programming mode, the programming process is canceled. You can answer the call by simply lifting the handset. After your conversation is finished, you will need to start the process of storing the phone number again from the beginning.

The most common reason for the speakerphone (SP-PHONE) and automatic dialing features not working is that the batteries have become weak. Replace them with a new set of batteries.

Check if the MUTE indicator light is on. If it is, your microphone is muted. Press the MUTE button to turn off the mute function and resume your conversation.

Improperly working line indicators are usually caused by incorrect settings:

• The connection of the telephone line or the setting of the C.O.L. selector is incorrect. Review the connection diagrams and ensure the C.O.L. selector is set to L1 for a single line or L1/L2 for two lines.

• The setting of the LINE MODE selectors is wrong. Ensure they are set to ‘A’ for standard lines or ‘B’ for a low voltage system like a PBX.

A flashing red indicator on the other line means an incoming call is arriving on that line. To answer it, press the HOLD button to put your current call on hold, then press the line button whose indicator is flashing red. To return to the first call, press the line button of the first call.
