The control panel of your BROTHER MFC-J6940DW includes the following components for operation:

Note: If you turn the machine off using the power button, it will still clean the print head periodically to maintain print quality. To prolong print head life, provide better ink efficiency, and maintain print quality, keep your machine connected to a power source at all times.

You can use your finger to press or swipe on the LCD to access the machine’s options. The Home Screen shows the machine’s status when it is idle. Key elements include:

1. Date & Time: Displays the current date and time set on the machine.

2. Quiet Mode Icon: Appears when [Quiet Mode] is set to [On]. This mode reduces printing noise but slows down the print speed.

3. Modes: Press to switch between modes like [Fax], [Copy], [Scan], [Web], [Apps], and [USB].

4. [Ink]: Displays the approximate ink volume. Press to access the [Ink] menu. An error icon appears if a cartridge is low or has a problem.

5. [Settings]: Press to access the machine’s settings menu.

6. Wireless Status Icon: Shows the wireless network status. A three-level indicator displays the current signal strength. If the machine is not connected or the setting is disabled, a different icon will appear.

7. [Shortcuts]: Create shortcuts for frequently used operations like faxing, copying, or scanning. Three tabs are available with six shortcuts on each tab.

8. Information Icon (i): Appears when there is new information from Brother, such as a firmware update. An internet connection is required.

9. Warning Icon (!): Appears when there is an error or maintenance message. Press the icon to view details.

IMPORTANT: DO NOT press the LCD with a sharp object like a pen. It may damage the machine. DO NOT touch the LCD immediately after turning the machine on, as this may cause an error.

When you need to enter text on your BROTHER MFC-J6940DW, a keyboard will appear on the touchscreen. Use the following instructions to enter text:

Character Input:

– Press the ‘A 1 @’ icon to cycle between letters, numbers, and special characters.

– Press the ‘↑aA’ icon to cycle between lowercase and uppercase letters.

– To move the cursor, press the left or right arrows on the screen.

Inserting Spaces:

– To enter a space, press [Space] or press the right arrow to move the cursor.

Making Corrections:

– To change an incorrect character, use the left or right arrows to highlight it. Press the backspace icon, and then enter the correct character.

– To insert a character, move the cursor to the correct place and enter the character.

– Press the backspace icon for each character you want to erase, or press and hold it to erase all characters.

The USB and Ethernet ports on your BROTHER MFC-J6940DW are located inside the machine. Follow these steps to access them:

1. Using both hands, use the finger holds on each side of the machine to lift the scanner cover (1) into the open position.

2. Locate the correct port (USB or Ethernet) inside the machine.

3. Carefully guide the cable through the cable channel and out the back of the machine.

4. Gently close the scanner cover using the finger holds on each side.

To load paper correctly, first fan the stack of paper well. The orientation depends on the paper size. Follow the instructions in the table below:

The Multi-purpose (MP) tray is for special print media like photo paper or envelopes. The paper orientation depends on the size. Follow the instructions in the table below:

Notes for Long Paper:

– Load only one sheet of Long paper at a time.

– To avoid damaging the paper, DO NOT pull up the paper support when loading Long paper.

Follow these steps to load A4, Letter, or Executive size paper into Tray #1 or Tray #2 of your BROTHER MFC-J6940DW:

1. If the paper support flap is open, close it, and then close the paper support.

2. Pull the paper tray completely out of the machine.

3. For Tray #2, remove the tray top cover.

4. Gently press and slide the paper width guides and then the paper length guide to fit the paper size. Line up the triangular marks on the guides with the marks for your paper size.

5. Fan the stack of paper well to avoid paper jams.

6. Gently load the paper into the tray with the printing surface face down in Landscape orientation.

IMPORTANT: Be careful not to push the paper in too far, as it may lift at the back and cause feed problems.

7. Gently adjust the paper width guides to touch the edges of the paper.

8. Make sure the paper is flat in the tray and below the maximum paper mark. Overfilling the tray may cause paper jams.

9. For Tray #2, replace the tray top cover.

10. Slowly push the paper tray completely into the machine.

11. Pull out the paper support until it locks into place.

12. Change the paper size setting in the machine’s menu, if needed.

Follow these steps to load large paper sizes like A3, Ledger, or Legal into Tray #1 or Tray #2 of your BROTHER MFC-J6940DW:

1. If the paper support flap is open, close it, and then close the paper support.

2. Pull the paper tray completely out of the machine.

3. For Tray #2, remove the tray top cover.

4. Rest the tray on a flat surface. Push the green slider to the left and then extend the tray until it locks into place.

5. Gently press and slide the paper width guides and then the paper length guide to fit the paper size. Line up the triangular marks on the guides with the marks for your paper size.

6. Fan the stack of paper well.

7. Gently load the paper into the tray with the printing surface face down in Portrait orientation.

IMPORTANT: Do not push the paper in too far.

8. Gently adjust the paper width guides to touch the edges of the paper.

9. Make sure the paper is flat in the tray and below the maximum paper mark.

10. For Tray #2, replace the tray top cover.

11. Slowly push the paper tray completely into the machine.

12. Pull out the paper support until it locks into place, and then unfold the paper support flap.

13. Change the paper size setting in the machine’s menu, if needed.

CAUTION: Position the machine so the extended tray will not protrude past the edge of the table or desk where someone may bump into it.

A “Document Jam” error indicates that paper is stuck in the Automatic Document Feeder (ADF). The location of the jam determines the removal method.

If the document is jammed in the Top of the ADF Unit:

1. Remove any paper from the ADF that is not jammed.

2. Open the ADF cover.

3. Remove the jammed document by pulling it upwards.

4. Close the ADF cover correctly by pressing it down in the centre.

5. Press the Cancel (X) icon on the touchscreen.

If the document is jammed in the Bottom of the ADF Unit:

1. Remove any paper from the ADF that is not jammed.

2. Lift the ADF document support and remove the jammed paper.

3. Press the Cancel (X) icon.

If the document is jammed inside the ADF Unit:

1. Remove any paper from the ADF that is not jammed.

2. Lift the document cover.

3. Pull the jammed document out to the right.

4. Close the document cover.

5. Press the Cancel (X) icon.

To remove small paper scraps from the ADF:

1. Lift the document cover.

2. Insert a piece of stiff paper, such as cardstock, into the ADF to push any small paper scraps through.

3. Close the document cover.

4. Press the Cancel (X) icon.

If the LCD on your BROTHER MFC-J6940DW indicates a paper jam in the front, follow these steps:

1. Unplug the machine from the electrical socket.

2. If paper is loaded in the MP tray, remove it.

3. Pull Tray #1 completely out of the machine.

4. Slowly remove the jammed paper from the machine opening.

5. Using both hands, lift the scanner cover into the open position.

6. Slowly pull any jammed paper out of the machine from under the print head area.

IMPORTANT: If the print head is in the right corner, you cannot move it. Close the scanner cover, reconnect the power cord, then open the cover again. Hold down the Cancel (X) button until the print head moves to the centre. Then unplug the machine and remove the paper.

7. Check the corners of the machine for any small pieces of paper and remove them.

8. Gently close the scanner cover.

9. If your LCD displays [Jam Front/MP Tray], look carefully inside the MP tray for jammed paper. Push the release lever towards the back of the machine, and then slowly pull the jammed paper out.

10. Slowly push Tray #1 completely into the machine.

11. Reconnect the power cord.

If the LCD on your BROTHER MFC-J6940DW indicates a paper jam in the back or in Tray #2, follow these steps:

1. Unplug the machine from the electrical socket.

2. Pull Tray #1 completely out of the machine. If the jam message is for Tray #2, also pull Tray #2 out.

3. Open the Jam Clear Cover at the back of the machine.

4. Slowly pull the jammed paper out of the machine.

5. Close the Jam Clear Cover completely.

6. Using both hands, lift the scanner cover into the open position.

7. Slowly pull any remaining jammed paper out of the machine.

IMPORTANT: If paper is jammed under the print head, unplug the machine, then move the print head to remove the paper. If ink gets on your skin or clothing, wash it off immediately with soap or detergent.

8. Gently close the scanner cover.

9. Slowly push the paper trays completely into the machine.

10. Reconnect the power cord.

If you see an error message starting with “Cannot” (e.g., Cannot Clean XX, Cannot Initialise XX, Cannot Print XX, Cannot Scan XX), it indicates either a mechanical problem or a foreign object inside the machine.

Follow these steps to resolve the issue:

1. Open the scanner cover and remove any foreign objects (like a paper clip) and paper scraps from inside the machine.

2. If the error message continues, disconnect the machine from the power for several minutes, and then reconnect it.

If you are unable to print documents and received faxes stored in memory due to this error, you can transfer them to another fax machine or your computer.

Here is a list of common error messages for the BROTHER MFC-J6940DW and their solutions:

When the LCD on your BROTHER MFC-J6940DW indicates that an ink cartridge needs replacing, follow these steps:

1. Open the ink cartridge cover on the front of the machine.

2. Press the lock release lever for the ink cartridge color indicated on the LCD to release it, then remove the cartridge from the machine.

3. Open the bag for the new ink cartridge.

IMPORTANT: Do not touch the chip area on the cartridge; this can prevent the machine from detecting it.

4. If you are replacing the black ink cartridge, shake it horizontally 15 times before inserting it.

Standard Cleaning:

1. Press [Ink] > [Print Head Cleaning].

2. Press [Start].

3. The machine cleans the print head.

Special Cleaning (Consumes more ink):

If the print quality has not improved after several standard cleanings, try the Special cleaning method.

1. Press [Ink] > [Print Head Cleaning].

2. Press and hold the Cancel (X) icon for five seconds.

3. The machine starts the special cleaning process.

IMPORTANT: DO NOT touch the print head. Touching it may cause permanent damage and void the warranty.

If you notice black lines, streaks, or spots on your copies or scans, the scanner glass may be dirty.

1. Unplug the machine from the electrical socket.

2. Lift the document cover.

3. Clean the main scanner glass (the large glass plate) and the white plastic area next to it with a soft, lint-free cloth moistened with water.

4. In the Automatic Document Feeder (ADF) unit, clean the white bar and the glass strip with a soft, lint-free cloth moistened with water.

5. Open the scanner glass cover (for the BROTHER MFC-J6940DW model) and clean the additional white bar and glass strip inside.

If you feel dirt or debris, repeat the cleaning process. To test, make a copy after each cleaning attempt.

If you are experiencing faded or streaked printouts, you can check the print quality by printing a nozzle check pattern.

1. Press [Ink] > [Improve Print Quality] > [Check Print Quality].

2. Press [Start]. The machine prints the check sheet.

3. Examine the quality of the four color blocks on the sheet.

4. The LCD will prompt you to evaluate the print quality.

– If all lines are clear and visible, press [No], and then press the Home icon to finish.

– If lines are missing, press [Yes].

5. The LCD will prompt you to check the print quality of each color and press the number of the pattern (1-4) that most closely matches the printing result.

6. If print head cleaning is needed, press [Start] to begin the cleaning procedure. If it is not needed, the menu screen reappears.

7. After cleaning, the machine will prompt you to print the check sheet again. Press [Yes] and then [Start] to confirm the improvement.

When you need to transport your BROTHER MFC-J6940DW, it is important to pack it correctly to prevent damage.

1. Unplug the machine from the electrical socket.

2. Lift the scanner cover, then unplug the telephone line cord from the wall socket and the machine.

3. Unplug any interface cables connected to the machine.

4. Remove the orange protective part from its storage place inside the machine.

5. Gently close the scanner cover.

6. Open the ink cartridge cover.

7. Press the ink release levers to release the ink cartridges and then take them out of the machine.

8. Install the orange protective part where the ink cartridges were.

IMPORTANT: Make sure the plastic tab on the left side of the orange protective part clicks securely into place.

9. Close the ink cartridge cover.

10. Wrap the machine in the plastic bag it came in.

11. Pack the machine in the original carton with the original packing material. Do not pack the used ink cartridges in the carton.

12. Close the carton and tape it shut.

In the event of a power failure, the memory storage of your BROTHER MFC-J6940DW is affected as follows:

– Your menu settings are stored permanently and will not be lost.

– Temporary settings (for example: Contrast and Overseas Mode) are lost.

– The date and time and programmed fax timer jobs (for example: Delayed Fax) are retained for approximately 24 hours.

– Other fax jobs stored in the machine’s memory will not be lost.

You can save frequently used settings for Fax, Copy, Scan, Web Connect, and Apps as a Shortcut. This example describes adding a Copy Shortcut, but the process is similar for other functions.

1. If the Home screen appears, press the + [Shortcuts] icon.

2. Press a tab from [1] to [3].

3. Press the + icon where you have not yet added a Shortcut.

4. Press ▲ or ▼ to display [Copy] and press it.

5. Press [Copy] again.

6. Press [Options].

7. Press ▲ or ▼ to display the available settings, and then press the setting you want to change.

8. Press ▲ or ▼ to display the available options for that setting, and then press the option you want.

9. Repeat the previous two steps until you have selected all the settings for this Shortcut. When finished, press [OK].

10. Press [OK] again.

11. Read and confirm the displayed list of settings, and then press [OK].

12. Enter a name for the Shortcut using the LCD keyboard, and then press [OK].
