The following symbols and conventions are used throughout the User’s Guide for your BROTHER MFC-J3540DW:

Before giving your BROTHER MFC-J3540DW to anyone else, replacing it, or disposing of it, it is strongly recommended that you reset it to its factory settings. This action is important to remove all of your personal information stored on the device.

The control panel of your BROTHER MFC-J3540DW includes several components for operating the machine:

1. Touchscreen Liquid Crystal Display (LCD): Access menus and options by pressing them on the touchscreen.

2. Menu Buttons:

• (Back): Press to go back to the previous menu.

• (Home): Press to return to the Home screen.

• (Cancel): Press to cancel an operation.

3. Dial Pad: Press the numbers to dial telephone or fax numbers and to enter the number of copies.

4. LED Power Indicator: The LED lights up depending on the machine’s power status. When the machine is in Sleep Mode, the LED blinks.

5. Power On/Off:

• Press to turn the machine on.

• Press and hold to turn the machine off. The touchscreen displays [Shutting Down] and stays on for a few seconds before turning itself off. A connected external telephone or Telephone Answering Device (TAD) will always remain available.

Even if you turn the machine off using the Power On/Off button, it will still clean the print head periodically to maintain print quality. To prolong print head life, provide better ink efficiency, and maintain print quality, keep your machine connected to a power source at all times.

The touchscreen LCD on your BROTHER MFC-J3540DW displays the machine’s status and provides access to various options. Here is a breakdown of the Home Screen elements:

1. Date & Time: Displays the date and time set on the machine.

2. Quiet Mode Icon: This icon appears when the [Quiet Mode] setting is set to [On]. This mode reduces printing noise, but the print speed becomes slower.

3. Modes: Press to switch to each mode, such as [Fax], [Copy], [Scan], [Web], [Apps], [USB], [A3 Copy Shortcuts], [Download Software], or [Print Head Cleaning].

4. [Ink] Icon: Displays the approximate available ink volume. Press to access the [Ink] menu. An error icon will be displayed if an ink cartridge is near the end of its life or has a problem.

5. [Settings] Icon: Press to access the [Settings] menu.

6. Wireless Status Icon: Shows the wireless network status:

• Machine not connected to a wireless access point/router or wireless setting is disabled.

• Wireless network is connected (three-level indicator shows signal strength).

• Wireless access point/router cannot be detected.

7. [Shortcuts] Icon: Create Shortcuts for frequently-used operations like sending a fax, copying, or scanning. Three tabs are available with six Shortcuts on each tab.

8. Information Icon (i): Appears when there is new information from Brother (requires an internet connection). Press to view the details.

9. Warning Icon (!): Appears when there is an error or maintenance message. Press the icon to view details, and then press (Cancel) to return to the Home screen.

IMPORTANT: DO NOT press the LCD with a sharp object like a pen or stylus, as it may damage the machine. Also, avoid touching the LCD immediately after plugging in or turning on the machine to prevent an error.

When you press [Settings] on the touchscreen of your BROTHER MFC-J3540DW, you can access the following menus:

1. [Maintenance]: Access menus for [Improve Print Quality], [Print Head Cleaning], [Remove Paper Scraps], [Ink Volume], [Ink Cartridge Model], [Print Options], and [Ink Cartridge Check].

2. Receive Mode: Displays the current fax Receive Mode.

3. [Date & Time]: Displays and allows you to access the [Date & Time] menu.

4. [Network]: Set up a network connection. A three-level indicator shows the wireless signal strength if connected wirelessly.

5. [Fax Preview]: Displays the Fax Preview setting and allows access to its menu.

6. [All Settings]: Access a menu of all of your machine’s settings.

7. [Wi-Fi Direct]: Set up a Wi-Fi Direct network connection.

8. [Tray Setting]: Access the [Tray Setting] menu to change the paper size and type.

You can change the Ready screen on your BROTHER MFC-J3540DW to display a specific Home screen or Shortcut screen. When the machine is idle or you press the (Home) button, it will go to the screen you have set.

1. Press [Settings] > [All Settings] > [General Setup] > [Screen Settings] > [Home Screen].

2. Press the up or down arrow to display the screen options, and then select the option you want.

3. Press (Home).

The machine will go to your new Home screen.

When you need to enter text on your BROTHER MFC-J3540DW, a keyboard will appear on the touchscreen. Use the following instructions to enter text, numbers, and symbols:

• Press the button with “A 1 @” to cycle between letters, numbers, and special characters.

• Press the button with “aA” to cycle between lowercase and uppercase letters.

• To move the cursor left or right, press the left or right arrow keys.

Inserting spaces:

• To enter a space, press [Space] or press the right arrow key to move the cursor.

Making corrections:

• To change a character, press the left or right arrow key to highlight the incorrect character. Press the backspace key (X), and then enter the correct character.

• To insert a character, use the arrow keys to move the cursor to the correct place, and then enter the character.

• To erase characters, press the backspace key (X) for each character you want to erase, or press and hold it to erase all characters.

The USB and Ethernet ports on your BROTHER MFC-J3540DW are located inside the machine. Follow these steps to connect the cables:

1. Using both hands, use the finger holds on each side of the machine to lift the scanner cover (1) into the open position.

2. Locate the correct port (USB or Ethernet, based on the cable you are using) inside the machine.

3. Plug your cable into the correct port.

4. Carefully guide the cable through the cable channel and out the back of the machine.

5. Gently close the scanner cover using the finger holds on each side.

Before loading paper, always fan the stack well to prevent jams. The correct orientation depends on the paper size and the tray you are using.

Paper Tray (#1)

Manual Feed Slot

Note: You can load only one sheet of paper at a time into the manual feed slot. After loading paper, unfold the paper support flap and change the paper size setting in the machine’s menu if needed.

Follow these instructions to load A4, Letter, or Executive size paper in Tray #1 of your BROTHER MFC-J3540DW:

1. If the paper support flap is open, close it, and then close the paper support.

2. Pull the paper tray completely out of the machine.

3. Gently press and slide the paper width guides and then the paper length guide to fit the paper size. Ensure the triangular marks on the guides line up with the marks for the paper you are using.

4. If you are loading Executive size paper, lift the stopper (4) in the tray.

5. Fan the stack of paper well to avoid paper jams and misfeeds. Make sure the paper is not curled or wrinkled.

6. Gently load paper in the paper tray with the printing surface face down in a landscape orientation.

IMPORTANT: Be careful not to push the paper in too far; it may lift at the back of the tray and cause paper feed problems.

7. Gently adjust the paper width guides to fit the paper, ensuring they touch the edges of the paper.

8. Make sure the paper is flat in the tray and below the maximum paper mark (1). Overfilling the tray may cause paper jams.

9. Slowly push the paper tray completely into the machine.

10. Pull out the paper support until it locks into place.

11. Change the paper size setting in the machine’s menu if needed.

To load A3, Ledger, or Legal size paper into Tray #1 of your BROTHER MFC-J3540DW, follow these steps:

1. If the paper support flap is open, close it, and then close the paper support.

2. Pull the paper tray completely out of the machine.

3. Rest the tray on a flat surface. Push the green slider to the left and then extend the tray until it locks into place.

4. Gently press and slide the paper width guides and the paper length guide to fit the paper size. Make sure the triangular marks on the guides line up with the paper size marks.

5. Fan the stack of paper well to avoid jams and misfeeds.

6. Gently load paper in the paper tray with the printing surface face down in a portrait orientation.

IMPORTANT: Do not push the paper in too far, as this can cause feed problems.

7. Ensure the paper length guide touches the edges of the paper.

8. Gently adjust the paper width guides so they touch the edges of the paper stack.

9. Make sure the paper is flat and below the maximum paper mark (1).

10. Slowly push the paper tray completely into the machine.

11. Pull out the paper support (1) until it locks into place, and then unfold the paper support flap (2).

CAUTION: Position the machine so the extended tray will not protrude past the edge of the table or desk where someone may bump into it, which could cause the machine to fall and cause injury.

Follow these steps to load photo paper into Paper Tray #1 of your BROTHER MFC-J3540DW:

1. If the paper support flap is open, close it, and then close the paper support.

2. Pull the paper tray completely out of the machine.

3. Depending on the photo paper size, lift the appropriate stopper inside the tray:

• For Photo L (9 x 13 cm), lift the Photo L stopper (1).

• For Photo (10 x 15 cm), lift the Photo stopper (2).

• For Photo 2L (13 x 18 cm), lift the Photo 2L stopper (3).

4. Gently press and slide the paper width guides (4) to fit the paper size.

5. Load up to 20 sheets of photo paper in the tray with the printing surface (glossy side) face down. Loading more than 20 sheets may cause paper jams.

6. Gently adjust the paper width guides (1) to fit the paper. Make sure the guides touch the edges and the paper is flat.

7. Slowly push the paper tray completely into the machine.

8. Pull out the paper support until it locks into place.

9. Change the paper size and type setting in the machine’s menu if needed.

To load envelopes into Paper Tray #1 of your BROTHER MFC-J3540DW, follow these steps:

1. Before loading, press the corners and sides of the envelopes to make them as flat as possible.

2. If the paper support flap is open, close it, and then close the paper support.

3. Pull the paper tray completely out of the machine.

4. Load up to 10 envelopes in the paper tray with the printing surface face down. Loading more than 10 may cause jams.

5. Gently press and slide the paper width guides and paper length guide to fit the size of the envelopes. Make sure the envelopes are flat in the tray.

IMPORTANT: If envelopes are multi-feeding, load one envelope in the paper tray at a time.

6. Slowly push the paper tray completely into the machine.

7. Pull out the paper support until it locks into place, and then unfold the paper support flap.

8. Change the paper size setting in the machine’s menu, if needed.

The Manual Feed Slot on your BROTHER MFC-J3540DW is for loading special print media, one sheet at a time. The machine automatically turns on Manual Feed mode when you insert paper.

1. Open the manual feed slot cover.

2. Slide the manual feed slot paper guides to fit the width of the paper you are using.

3. Load only one sheet of paper with the printing surface face up.

• For A4, Letter, or Executive size paper: Load in landscape orientation.

• For A3, Ledger, Legal, Folio, A5, A6, envelopes, or photo paper: Load in portrait orientation.

• For envelopes: Load with the flap on the left as shown in the illustration.

4. Using both hands, push the sheet of paper into the slot until the front edge touches the paper feed rollers. Let go of the paper when you feel the machine pull it. The LCD will display [Manual Feed Slot ready].

5. Follow the instructions on the LCD and press [OK].

6. Depending on the paper size, pull out the paper support and unfold the flap if necessary.

IMPORTANT:

• Do not load more than one sheet at a time to avoid paper jams.

• Do not load paper in the manual feed slot when you are printing from the paper tray.

To get the best print quality, you should set the machine for the type of paper you are using. When you change the size of the paper in the tray, you must also change the Paper Size setting on the LCD.

1. Press [Settings] > [All Settings] > [General Setup].

2. Press [Paper Type].

3. Press the up or down arrow to display the paper type options, and then press the option you want.

4. Press [Paper Size].

5. Press the up or down arrow to display the paper size options, and then press the option you want.

6. Press (Home).

Note: The machine ejects paper with the printed surface face up onto the paper tray at the front. When using glossy paper, remove each sheet at once to prevent smudging or paper jams.

Your BROTHER MFC-J3540DW can use plain paper, inkjet paper (coated paper), glossy paper, recycled paper, and envelopes. For the best results, use Brother genuine paper. Here are some important tips:

• When printing on inkjet or glossy paper, always select the correct print media in the printer driver or the machine’s Paper Type setting.

• When printing on photo paper, load one extra sheet of the same paper in the tray.

• Remove each sheet of photo paper at once after printing to prevent smudging.

• Avoid touching the printed surface immediately after printing as it may not be completely dry.

IMPORTANT: DO NOT use the following types of paper:

• Damaged, curled, wrinkled, or irregularly shaped paper.

• Paper with a curl of 2 mm or greater, as it may cause jams.

• Extremely shiny or highly textured paper.

• Paper that cannot be arranged uniformly when stacked.

• Paper made with a short grain.

DO NOT use envelopes that:

• Are loosely constructed.

• Have windows.

• Are embossed (have raised writing).

• Have clasps or staples.

• Are pre-printed on the inside.

• Are self-adhesive.

• Have double flaps.

The Automatic Document Feeder (ADF) on your BROTHER MFC-J3540DW can hold multiple pages and feeds each sheet individually. Always fan the pages before loading them.

Document Sizes and Weights for ADF:

IMPORTANT:

• DO NOT pull on the document while it is feeding.

• DO NOT use paper that is curled, wrinkled, folded, ripped, stapled, paper clipped, pasted, or taped.

• DO NOT use cardboard, newspaper, or fabric.

• Make sure documents with correction fluid or ink are completely dry.

• DO NOT leave any documents on the scanner glass, as this may cause the ADF to jam.

Loading Steps:

1. Fan the pages well.

2. Adjust the paper guides (1) to fit the document size.

3. Place your document face up in the ADF until you feel it touch the feed stoppers and the machine beeps.

Use the scanner glass to fax, copy, or scan one page at a time. The ADF must be empty to use the scanner glass.

Supported Document Sizes:

Loading Steps:

1. Lift the document cover.

2. Place the document face down in the upper left corner of the scanner glass, aligning it with the guides.

3. Close the document cover.

IMPORTANT: If you are scanning a book or thick document, DO NOT forcefully close or press on the document cover.

Follow these steps to make a copy using your BROTHER MFC-J3540DW:

1. Make sure you have loaded the correct size paper in the paper tray.

2. Load your document in the ADF or on the scanner glass.

3. Press [Copy].

4. Change the copy settings if needed. The touchscreen will display options to adjust:

• Number of Copies: Use the – or + buttons, or press the number to bring up a keypad.

• Options: Press [Options] to change settings for the next copy only, such as Document Size, Enlarge/Reduce, Tray Select, and Paper Size/Type.

• ID Copy: Select the [ID] checkbox to make an ID card copy.

• Preview: Preview the copied result on the LCD before the machine starts printing.

5. Press [Mono Start] or [Colour Start] to begin copying.

To interrupt copying, press the (Cancel) button.

You can select an enlargement or reduction ratio to resize your copies on the BROTHER MFC-J3540DW.

1. Load your document.

2. Press [Copy].

3. Enter the number of copies.

4. Press [Options] > [Enlarge/Reduce].

5. Press the up or down arrow to display the available options, and then press the option you want to change.

6. Do one of the following:

• If you selected [Enlarge] or [Reduce], press the preset ratio you want to use.

• If you selected [Custom(25-400%)], use the backspace key to erase the current percentage, and then enter a new ratio from 25% to 400%. Press [OK].

• If you selected [100%] or [Fit to Page], go to the next step.

7. Review the displayed list of options and press [OK].

8. When you have finished changing settings, press [Mono Start] or [Colour Start].

Note: The [Fit to Page] option adjusts the copy size to fit the paper size set in the machine. It is not available for Legal size documents and may not work correctly if the document is skewed on the scanner glass.

You can sort multiple copies so that the pages are stacked in the order they are fed (for example, 1, 2, 3, 1, 2, 3).

1. Load your document.

2. Press [Copy].

3. Enter the number of copies you want.

4. Press [Options] > [Stack/Sort] > [Sort].

5. Read and confirm the displayed list of settings and press [OK].

6. Press [Mono Start] or [Colour Start]. If your document is in the ADF, the machine will scan and start printing.

7. If you are using the scanner glass for a multi-page document, you must scan each page individually:

• Place the next page on the scanner glass and press [Continue] to scan it.

• After scanning all the pages, press [Finish].

The N in 1 feature saves paper by copying two or four pages onto one sheet. The Poster feature divides a document into sections and enlarges them to be assembled into a poster. Ensure your paper size is set to A4, A3, Letter, or Ledger.

1. Load your document. Use the scanner glass for posters.

2. Press [Copy].

3. Enter the number of copies (you can only make one poster copy at a time).

4. Press [Options] > [Page Layout].

5. Press the up or down arrow to display the layout options and select the one you want.

Available options include:

6. Review the settings and press [OK].

7. Press [Mono Start] or [Colour Start].

8. If using the scanner glass for a multi-page document (for N in 1), place the next page on the glass and press [Continue]. After all pages are scanned, press [Finish].

You can reduce paper use by copying onto both sides of the paper. You can copy 1-sided documents to 2-sided copies, or 2-sided documents to 2-sided copies. You can use only A4, Letter, A5, A3, Ledger, Legal, Folio, Mexico Legal, or India Legal size plain paper for this feature.

1. Load your document. For automatic 2-sided to 2-sided copying, you must use the ADF. For manual 2-sided copying from a 2-sided original, use the scanner glass.

2. Press [Copy].

3. Enter the number of copies.

4. Press the up or down arrow to display the [2-sided Copy] option, and then press it.

5. Select your copy layout:

• To make 2-sided copies from a 1-sided document: Press [1-sided to 2-sided]. You can press [Layout] to choose between Long Edge Flip and Short Edge Flip.

• To make 2-sided copies from a 2-sided document: Press [2-sided to 2-sided].

6. Review your settings on the touchscreen and press [OK].

7. Press [Mono Start] or [Colour Start].

• If using the ADF, the machine scans the pages and starts printing.

• If using the scanner glass to copy a 2-sided original, place the next page on the scanner glass when prompted and press [Continue]. After all pages are scanned, press [Finish].

Note: DO NOT touch the printed page until it is ejected the second time. The machine prints the first side, ejects the paper, and then pulls it back in to print the second side.

Use the [2in1(ID)] feature on your BROTHER MFC-J3540DW to copy both sides of an ID card onto a single page while keeping the original card size. Ensure the paper size is set to A4 or Letter.

1. Place your ID card face down near the upper-left corner of the scanner glass. The top/left edge should be at least 3 mm from the edges of the glass.

2. Press [Copy].

3. Enter the number of copies you want.

4. Press [Options] > [Page Layout] > [2in1 ID Vertical] or [2in1 ID Horizontal]. Alternatively, you can press the [ID] checkbox on the main copy screen for the vertical layout.

5. Confirm the settings and press [OK].

6. Press [Mono Start] or [Colour Start]. The machine will scan the first side of the ID card.

7. After the first side is scanned, turn over the ID card in the same spot and press [Continue] to scan the other side.

8. The machine will then print both sides on a single sheet of paper.

The A3 Copy Shortcuts feature on your BROTHER MFC-J3540DW allows you to easily copy documents onto A3 or Ledger size paper with various formats, including 2 in 1, enlargements, and reductions.

1. Load your document.

2. Press the left or right arrow key to display the [A3 Copy Shortcuts] option, and then press it.

3. If an information screen appears, read it and press [OK].

4. Press the left or right arrow key to display the available options, and then press the option you want. Options include:

• A3 2in1

• A3

• A4 to A3 (Enlarge)

• A3 to A4 (Reduce)

• A4 + Note(L) (Landscape note area)

• A4 + Note(P) (Portrait note area)

• A4 + Grid

• A4 + Blank

• A4 Centre

5. Enter the number of copies required.

6. To change settings like resolution or density, press [Options].

7. When you have finished changing settings, press [OK].

8. Press [Mono Start] or [Colour Start].

9. If using the scanner glass for the [A3 2in1] option, place the next page on the glass and press [Continue] to scan. After scanning all pages, press [Finish].

If your BROTHER MFC-J3540DW is not producing a dial tone, follow these troubleshooting steps:

• Check Line Cord Connections: Ensure the telephone line cord is securely plugged into the wall socket and the LINE socket on the machine.

• Check DSL/VoIP Connections: If you use DSL or VoIP services, contact your service provider for correct connection instructions.

• Adjust VoIP Setting: If you use VoIP, try changing the Compatibility setting to Basic (for VoIP). This lowers the modem speed and turns off Error Correction Mode (ECM).

• Check Tone/Pulse Setting: (Available in some countries) Make sure the Tone/Pulse setting matches your telephone service.

• Test the Line: Connect a known working telephone and line cord to the same wall socket. Lift the handset and listen for a dial tone. If there is still no dial tone, the issue is with your telephone line or wall socket, and you should contact your telephone company.

If you are unable to send a fax from your BROTHER MFC-J3540DW, try the following solutions:

• Check Line Cord Connections: Make sure the telephone line cord is securely plugged into the wall socket and the LINE socket on the machine.

• Print a Transmission Verification Report: This report can help diagnose the problem by showing an error code.

• Check Secure Function Lock: If this feature is enabled, your user profile may be restricted from sending faxes. Contact your administrator.

• Check Receiving Machine: Ask the other party to check if their fax machine has paper.

• Improve Sending Quality: If the quality is poor, try changing the resolution to Fine or S.Fine. You can also make a copy to test the scanner’s quality; clean the scanner if the copy quality is poor.

• Transmission Verification Report says RESULT:NG: This indicates temporary noise or static on the line. Try sending the fax again. If you are sending a PC-Fax, your machine may be out of memory. To free up memory, you can turn off Fax Storage, print stored faxes, or cancel any delayed faxes.

• Blank Faxes: Ensure you are loading the document correctly, either face up in the ADF or face down on the scanner glass.

• Vertical Black Lines: This is typically caused by dirt or correction fluid on the scanner glass strip. Clean the scanner.

You can use the reset functions to return your BROTHER MFC-J3540DW to its original settings. It is highly recommended to perform an “All Settings” reset when you dispose of the machine.

1. Press [Settings] > [All Settings] > [Initial Setup] > [Reset].

2. Press the reset option you want to use:

• [Machine Reset]: Resets all machine settings you have changed. The Address Book, Fax Reports, and Call History will remain.

• [Network]: Resets the print server back to its default factory settings (including Password and IP Address).

• [Address Book & Fax]: Resets Address Book, programmed fax jobs, Station ID, Memory Receive Options, Reports, and History.

• [All Settings]: Resets all machine settings to the factory defaults.

3. Press [OK] for two seconds to reboot the machine.

4. Wait until the machine restarts and the Power LED indicator lights up before disconnecting the power source.

When the LCD on your BROTHER MFC-J3540DW indicates that an ink cartridge needs replacing, follow these steps. Be sure to replace the cartridges in the order prompted.

CAUTION: If ink gets into your eye, rinse it with water immediately and consult a doctor if any abnormality occurs.

1. Open the ink cartridge cover (1) on the front of the machine.

2. Press the lock release lever for the ink cartridge colour indicated on the LCD to release it, then remove the cartridge from the machine.

3. Open the bag for the new ink cartridge of the correct colour.

4. If you are replacing the black ink cartridge, shake it horizontally 15 times before inserting it.

IMPORTANT: DO NOT touch the ink cartridge in the area indicated by the label (1) to avoid detection issues.

5. Insert the new ink cartridge in the direction of the arrow on the label. Each colour has its own correct position.

6. Gently push the area marked “PUSH” until the ink cartridge locks into place, and then close the ink cartridge cover. The machine will reset the ink dot counter.

Note: If the machine does not detect the cartridge, remove it and reinstall it slowly until it locks into place.

If you notice a print quality problem, such as a horizontal line or blank space in text or graphics, you can manually clean the print head on your BROTHER MFC-J3540DW.

IMPORTANT: Do not touch the print head, as this may cause permanent damage and void the warranty.

Standard Cleaning:

1. Press [Ink] > [Print Head Cleaning].

2. Press [Start].

The machine will perform the cleaning cycle.

Special Cleaning (if standard cleaning does not help):

This method uses the most power and ink and should only be used if you have already cleaned the print head several times without improvement.

1. Press [Ink] > [Print Head Cleaning].

2. Press and hold the Cancel (X) button for five seconds.

The machine will start the special cleaning cycle.

If you see black lines, streaks, or spots on your copies or scans, the scanner glass or ADF components may be dirty.

1. Unplug the machine from the electrical socket.

2. Lift the document cover (1).

3. Clean the scanner glass (2) and the white plastic (3) with a soft, lint-free cloth moistened with water.

4. In the ADF unit (under the document cover), clean the white bar (1) and the glass strip (2) with a soft, lint-free cloth moistened with water.

If you feel dirt or debris, clean the glass again. You may need to repeat the cleaning process three or four times. To test, make a copy after each cleaning attempt.

If you experience faded or streaked printouts, you can print a quality check sheet to see if the print head nozzles are clogged.

1. Press [Ink] > [Improve Print Quality] > [Check Print Quality].

2. Press [Start]. The machine will print the check sheet.

3. Examine the quality of the four colour blocks on the sheet.

4. The LCD will prompt you to check the print quality. Do one of the following:

• If all lines are clear and visible, press [No], and then press (Home) to finish.

• If you see missing lines (the ‘Poor’ example), press [Yes].

5. The LCD will ask you to identify which pattern (1-4) best matches the printing result for each colour. Press the number of the pattern that most closely matches.

6. If the machine determines a cleaning is needed, press [Start] to begin the cleaning procedure. If cleaning is not needed, the menu screen will reappear.
