What are the conventions used in this manual?
Throughout this manual, special symbols alert you to important information, warnings, and actions to perform. To help you choose the correct key presses, illustrations showing some of the LCD messages have been added.
boldface: Bold typeface identifies a specific key on the MFC control panel.
italics: Italics typeface emphasize an important point, or refer you to a related topic.
bubble dot: Bubble Dot typeface identifies the messages on the LCD of the MFC.

What are the main functions of the keys on the control panel?
Fax Keys:
Fax Resolution: Sets the resolution when you send a fax.
Receive Mode: Use to select how the MFC will handle incoming calls.
Redial/Pause: Redials the last number called. Also inserts a pause in auto dial numbers.
Dial Pad: Use to dial phone and fax numbers and as a keyboard for entering information into the MFC.
Search/Speed Dial: Lets you look up numbers stored in the dialing memory. Also lets you dial stored phone numbers by pressing # and a two-digit number.
Color Fax Start: Starts sending a color fax.
Black Fax Start: Starts sending a black and white fax.
Liquid Crystal Display (LCD): The LCD displays messages to help you set up and operate your MFC.
Reports: Accesses the Reports menu so you can select a report to print: Help List, Auto Dial, Fax Activity, Transmission Verification and User Settings.
Stop/Exit: Stops a fax, cancels an operation, or exits from Menu mode.
Navigation Keys:
Menu/Set: Lets you access the Menu and Programming mode and stores your settings in the MFC.
Arrow Keys (Up/Down): Press to scroll forward or backward to set a menu selection. Also, you can use these keys to do an alphabetical search for the names of stored numbers.
Volume Keys (Left/Right): Press to scroll through the menus and options. When the machine is idle, you can press these keys to adjust the ring volume.
Print Key:
Ink: Cleans the ink print heads and replace an ink cartridge.
Copy Keys (Temporary Settings):
Enlarge/Reduce: Lets you reduce or enlarge copies depending upon the ratio you select.
Quality: Use this key to temporarily change the quality for Copy.
Options: You can quickly and easily select temporary settings.
Color Copy: Makes a full-color copy.
Black Copy: Makes a black-and-white copy.
Scan Key:
Scan to: Lets you scan the next original into your computer and select the type of destination: word processing, graphics or E-mail application.
What should I know about using this fax machine with Voice Mail?
If you have Voice Mail on the same phone line as your MFC, there is a strong possibility they will conflict with each other. Since both the MFC and Voice Mail answer calls, one can prevent the other from receiving its intended message (a fax for the MFC, a voice message for Voice Mail).
For example, if your Voice Mail is set to answer after two rings and your MFC is set to answer after four, your Voice Mail will always answer first and prevent the MFC from receiving faxes. If they are set to the same number of rings, it is unpredictable which will answer first.
To avoid this, consider these options:
1. Get a second phone number on your existing line, a service often called “Distinctive Ring.” This gives your fax machine a dedicated number with a unique ring pattern that it can be programmed to recognize.
2. Replace your Voice Mail service with a physical telephone answering device (TAD). Your Brother MFC is designed to work with an external TAD connected to it.
How do I assemble and set up the MFC?
1. Remove the Protective Yellow Bar:
1. Lift the scanner cover toward the back.
2. Pull the protective yellow bar out of the machine. Do not throw this away; you will need it for future transportation.
3. Close the top cover, and then close the control panel cover.
2. Connect Power and Telephone Lines:
1. Connect the power cord to the MFC and a grounded 3-prong outlet. There is no ON/OFF switch; power is supplied when plugged in. The LCD will show CHECK CARTRIDGE.
2. Connect one end of the telephone line cord to the jack labeled LINE on the MFC and the other end to a modular wall jack.
Caution: Operating the MFC before you install the ink cartridges will permanently damage the print head.
3. Attach Paper Trays:
1. Attach the paper wire extension to the multi-purpose sheet feeder.
2. Attach the plastic paper tray to the paper output slot, and then pull out the extension. This helps prevent paper jams.
How do I load paper into the sheet feeder?
You can load up to 100 sheets of 20 lb (75 g/m²) paper.
1. Fan the stack of paper well.
2. Gently insert the paper into the sheet feeder. Make sure the print side is facing you and the paper level is stacked below the paper guide line.
3. Press and slide the paper width guides to fit the width of the paper.
How do I install the ink cartridges for the first time?
1. Check that the power is on. The LCD should show CHECK CARTRIDGE.
2. Open the Scanner cover by pulling the scanner cover release lever toward you and lifting the scanner cover.
3. After a few seconds, the print head will move to the left, into its replacement position.
4. Remove the protective blue tape over the colored ink cartridge covers.
5. Push the four colored ink cartridge covers one at a time so they pop up. Then remove the white shipping cover by pulling it toward you and lifting it up and out. Keep the white shipping cover for future transportation.
6. It is recommended to install cartridges from left to right: Black, Cyan, Yellow, Magenta.
7. Open the Black ink cartridge bag and take out the ink cartridge.
8. Carefully and slowly remove the sealing tape from the bottom of the ink cartridge, peeling it in the direction away from you. Do not touch the ink opening.
9. Each color has its own correct position. Gently insert the Black ink cartridge, and then press the cover down until it clicks.
10. Repeat steps 7 to 9 for each color ink cartridge.
11. After installing all cartridges, close the Scanner cover until it clicks into place. The MFC will enter a “head cleaning” cycle for approximately four minutes. The LCD will show CLEANING. After the cycle, the LCD shows PRESS FAX START.
12. Make sure paper is loaded, then press Black Fax Start. The MFC will print the Print Quality Check Sheet.
13. Follow the instructions printed on the sheet to complete the initial setup.
How do I connect an external Telephone Answering Device (TAD)?
When you have an external TAD on the same line, the TAD answers all calls, and the MFC “listens” for fax calling (CNG) tones. If it hears tones, the MFC takes over to receive the fax. If not, the TAD continues its message for the caller.
Important: The TAD must be set to answer within four rings or less (two is recommended). The external TAD must be plugged into the jack labeled EXT on the MFC, not directly into a wall jack.
Connection Steps:
1. Plug the telephone line cord from the wall jack into the LINE jack on the MFC.
2. Plug the telephone line cord from your external TAD into the EXT jack on the MFC.
3. Set your external TAD to answer calls.
4. Set the MFC’s Receive Mode to EXT. TEL/TAD.
Recording Your Outgoing Message (OGM) on the TAD:
1. Record 5 seconds of silence at the beginning of your message. This allows the MFC time to listen for fax tones.
2. Limit your speaking to 20 seconds.
3. End your message by providing your Fax Receive Code for people sending manual faxes. For example: “After the beep, leave a message or send a fax by pressing *51 and Start.”
How do I set the Date, Time, and Station ID?
Setting Date and Time:
1. Press Menu/Set, 1, 3.
2. Enter the last two digits of the year, then press Menu/Set.
3. Enter two digits for the month (e.g., 09 for September), then press Menu/Set.
4. Enter two digits for the day, then press Menu/Set.
5. Enter the time in 24-hour format (e.g., 15:25 for 3:25 PM), then press Menu/Set.
6. Press Stop/Exit.
Setting Station ID (Your Name and Fax Number):
1. Press Menu/Set, 1, 4.
2. Enter your fax number (up to 20 digits), then press Menu/Set.
3. Use the dial pad to enter your name (up to 20 characters), then press Menu/Set. To enter letters, press the corresponding number key repeatedly until the desired letter appears.
4. Press Stop/Exit.
How do I choose and set the fax receive mode?
There are three receive modes. Press the Receive Mode key repeatedly until the LCD shows the setting you want to use.

How do I send a fax?
Faxing from the Automatic Document Feeder (ADF):
1. Unfold the document tray extension and stopper.
2. Fan the pages and insert them face up, top edge first into the ADF until you feel them touch the feed roller.
3. Adjust the paper guides to fit the width of your original.
4. Enter the fax number using the dial pad, Speed Dial, or Search.
5. Press Black Fax Start for a black and white fax, or Color Fax Start for a color fax.
Faxing from the Scanner Glass:
1. Lift the document cover. The ADF must be empty.
2. Place the document face down on the scanner glass, using the guidelines on the left.
3. Close the document cover.
4. Dial the fax number and press Black Fax Start. The MFC starts scanning the first page.
5. If sending a single page, the fax will begin dialing. If sending multiple pages, the LCD will prompt NEXT:PRESS SET. Place the next page on the scanner glass and press Menu/Set.
6. Repeat for all pages. When finished, press Black Fax Start to begin dialing.
How do I store and use Speed Dial numbers?
Storing Speed Dial Numbers:
1. Press Menu/Set, 2, 3, 1.
2. Use the dial pad to enter a two-digit location (01-40), and then press Menu/Set.
3. Enter the fax number (up to 20 digits), and then press Menu/Set.
4. Use the dial pad to enter a name (up to 15 characters), then press Menu/Set. You can press Menu/Set without a name to store just the number.
5. To store another number, return to Step 2. Otherwise, press Stop/Exit.
Using Speed Dialing:
1. Place your document in the ADF or on the scanner glass.
2. Press Search/Speed Dial, press #, then press the two-digit Speed Dial location number.
3. Press Black Fax Start.
How do I make a copy?
Making a Single Copy:
1. Place the original face up in the ADF, or face down on the scanner glass.
2. As needed, use the Options and Enlarge/Reduce keys to change temporary settings.
3. Press Black Copy or Color Copy.
Making Multiple Copies (Using the ADF):
1. Place the original face up in the ADF.
2. Use the dial pad to enter the number of copies you want (up to 99).
3. To sort the copies, press the Options key, select OPT:STACK/SORT, then select SORT.
4. Press Black Copy or Color Copy.
How can I improve the quality of my copies?
You can use the Copy keys to temporarily change settings for the next copy job. These settings revert to default 30 seconds after copying is finished.
Quality: Press the Quality key repeatedly to select:
FAST: Fastest speed, lowest ink use. Good for proof-reading.
NORMAL: Recommended for ordinary printouts with good quality and speed.
BEST: Highest resolution and slowest speed. Use for precise images like photographs.
Enlarge/Reduce: Press the Enlarge/Reduce key to select a preset ratio (e.g., 50%, 150%, 200%) or select ZOOM to enter a custom ratio from 25% to 400%.
Options: Press the Options key to set the following for the next copy job:
Paper Type: Select PLAIN, INKJET, GLOSSY, or TRANSPARENCY.
Paper Size: Select LETTER, LEGAL, A4 or POST CARD.
Brightness: Adjust to make the copy lighter or darker.
Stack/Sort: When making multiple copies from the ADF, choose to stack (e.g., page1, page1, page2, page2) or sort (page1, page2, page1, page2).
Special Copy: Choose 2 in 1, 4 in 1, or Poster layout.
What should I do if a paper jam occurs?
Original Jammed in the Top of the ADF:
1. Remove any paper from the ADF that is not jammed.
2. Lift the ADF cover.
3. Pull the jammed original out to the right.
4. Close the ADF cover and press Stop/Exit.
Original Jammed Inside the ADF:
1. Remove any paper from the ADF that is not jammed.
2. Lift the document cover.
3. Pull the jammed original out to the right.
4. Close the document cover and press Stop/Exit.
Printer Jam in Multi-Purpose Sheet Feeder:
1. Remove any loose paper from the feeder.
2. Pull up the jammed paper to remove it. If you have difficulty, press and hold the Paper Release Lever while you pull out the page.
Paper Jammed Inside the MFC:
1. Open the Scanner Cover by releasing the lever and lifting.
2. Remove the jammed paper. If it’s under the Print Head, unplug the MFC first, then move the Print Head to remove the paper.
3. Close the Scanner Cover.
What do common error messages on the LCD mean?

How do I improve print quality or clean the print heads?
If you see horizontal lines or blank spaces in your text or graphics, the print heads may need cleaning.
Cleaning the Print Heads:
1. Press the Ink key.
2. Press 1 to choose 1.CLEANING.
3. Press the up/down arrow keys to choose the color you want to clean (BLACK, COLOR, or ALL), and then press Menu/Set.
4. The MFC will perform a cleaning cycle automatically. When finished, it will go back online.
Note: If print quality has not improved after cleaning at least five times, try installing a new ink cartridge for the problem color. If the problem persists, the machine may need service.
Performing a Print Quality Check:
1. Press Menu/Set, 4.
2. Press Black Fax Start. The MFC will print a Print Quality Check Sheet.
3. Follow the instructions on the sheet (STEP A and STEP B) to check color blocks and alignment. The prompts on the LCD will guide you through the process of identifying any issues and initiating further cleaning cycles if needed.
How do I replace an ink cartridge?
The MFC will display a message like NEAR EMPTY or INK EMPTY to let you know which color needs replacing.
1. If the message is NEAR EMPTY, press the Ink key, press 2 for REPLACE INK, then press Menu/Set.
2. If the message is INK EMPTY, the machine will prompt you to open the cover.
3. Pull the Scanner cover release lever and lift the Scanner cover.
4. Press the appropriate colored ink cartridge cover to release the lock, then remove the old cartridge.
5. Open the bag for the new ink cartridge of the correct color.
6. Carefully peel the sealing tape from the new cartridge in the direction away from you.
7. Insert the new cartridge into its correct position in the carriage, and then press the cover down until it clicks.
8. After replacing all necessary cartridges, close the Scanner cover. The MFC will ask you to verify each new cartridge (e.g., DID YOU CHANGE BLCK? 1.YES 2.NO).
9. For each new cartridge you installed, press 1 (YES) to reset the ink dot counter for that color. This allows the MFC to track ink levels correctly.
10. The MFC will then enter a cleaning cycle for the new cartridge(s).
How do I perform routine maintenance?
Cleaning the Scanner:
1. Unplug the MFC and lift the document cover.
2. Clean the scanner glass and the white film on the underside of the cover with isopropyl alcohol on a lint-free cloth.
3. Open the ADF cover. Clean the white bar and the glass strip under it with isopropyl alcohol on a lint-free cloth.
Cleaning the MFC Printer Platen:
WARNING: Be sure to unplug the MFC from the AC power outlet before cleaning the platen. Be careful not to touch the paper feed star wheels, flat cable, or encode film.
Wipe the printer platen (where the paper travels during printing) with a dry, lint-free cloth.
What important safety instructions should I follow?
1. Read all instructions before use.
2. Save instructions for later reference.
3. Follow all warnings and instructions marked on the product.
4. Unplug this product from the wall outlet before cleaning. Use a damp cloth; do not use liquid or aerosol cleaners.
5. Do not use this product near water.
6. Do not place this product on an unstable cart, stand, or table.
7. Do not block or cover the ventilation openings.
8. Operate this product only from the type of power source indicated on the label.
9. This product is equipped with a 3-wire grounding type plug. This plug will fit only into a grounding-type power outlet. This is a safety feature. Do not defeat the purpose of the plug.
10. Do not allow anything to rest on the power cord.
11. If using an extension cord, ensure the total ampere rating of all products on it does not exceed the cord’s rating.
12. Do not place anything in front of the machine that will block received faxes.
13. Never push objects of any kind into this product through cabinet slots.
14. Do not attempt to service this product yourself. Refer all servicing to Authorized Service Personnel.
15. Unplug this product and refer servicing to Authorized Service Personnel if the power cord is damaged, liquid has been spilled into it, it has been exposed to rain or water, it does not operate normally, or it has been dropped or damaged.
16. To protect your product against power surges, we recommend the use of a power protection device (Surge Protector).
